RSC22 Web Series | Working smarter not harder: How to automate your holdings and configure policies to expedite fulfillment

The presenters will explain how their libraries share a base configuration that can be modified for an individual library’s local work processes, from restricting patron-initiated requests to allowing any request from patrons regardless of local holdings.

SWAN, a consortium of 100 libraries in the greater Chicagoland, has worked on configuring and automating WorldShare ILL through “automatic no” based on real-time availability, custom holdings groups within its statewide delivery system, deflections, and patron-initiated requests. They also collaborate with five other colleague consortia in Illinois to manage holdings through development of the OCLC Holdings Manager.

The presenters, Scott Brandwein and Helen Pinder, will explain how their libraries share a base configuration that can be modified for an individual library’s local work processes, from restricting patron-initiated requests to allowing any request from patrons regardless of local holdings. Reviewing statistics will provide an insight into the efficiencies gained through implementation of real-time availability and “automatic no.” The OCLC Holdings Manager project is an open source project developed in SWAN that compares two generations of catalogs in MARC format to extrapolate adds/deletes in the bibliographic data. These changes are then sent as set/unset holdings to WorldCat through the WorldCat API. The presenters will share their tools and how they’ve enhanced their patron experience through accurate holdings and efficient ILL processing.
