Document Delivery staff at the Texas Tech University Libraries pride themselves on providing resources—anytime, anywhere for patrons across campus and beyond. Through a partnership with Open Educational Resources, our Document Delivery staff are working toward expanding resources for teaching to help prevent academic gatekeeping and provide better service to our patrons.

We’ll discuss the multi-stage process of cross-departmental collaboration, beginning with finding shared language and overlapping interests, establishing stakeholders, collaborating on messaging and audiences through marketing and instruction sessions, and charting a path for ongoing projects.

Unexpected challenges are inevitable, but careful planning and alignment of goals can pave the way. This is the story of a large-scale merger of two departments, Information Services & Learning Spaces and Resource Sharing and Delivery (ILL), into one department: Access Services.

We’ll discuss how participative leadership techniques successfully overcame challenges and ultimately positively impacted the department and team. From streamlining services and reducing personnel costs to removing institutional silos and everything in between, this merger took a realistic approach to improving workflows across the board. Despite unprecedented staffing departures during this time, the newly created Access Services department has risen to the challenge and is as united as ever.

Griffith University in Brisbane, Australia, transformed its interlibrary loan service from a stand-alone team to being embedded in its Scholarly Resource Service. This created opportunities for staff to learn new skills, make purchasing decisions, and support the creation of reading lists for academic staff. Highlighting the importance of resource sharing as an essential strategy of collection development and access in an environment of limited funding and high expectations, we’ll discuss the impact and outcomes of this new way of working.

In 2023, an appointed team of cross-functional experts in the Big Ten Academic Alliance (BTAA) sought to realign the consortium’s resource sharing policies in support of seamless collection access and, most importantly, to provide a consistent user experience for all Big Ten users. The team crafted a new resource sharing agreement that committed the BTAA’s 15 member libraries to treating all Big Ten users as their own with interlibrary loan access to general and special physical collections, digitized material, and electronic collections regardless of format or location.

In this session, we’ll talk about the creation and composition of the new BTAA Resource Sharing Agreement that breaks down barriers to access and the new Big Ten Scanning Standards that serve as a model for others. We’ll also explain how Big Ten ILL coordinators worked with public and technical services, collection managers, and leadership within their libraries to maximize collaboration and implement the newly harmonized BTAA resource sharing policies.

Staff members from three institutions–a large private university, a medium-sized public university, and a major art museum–have creatively adapted to the changing fiscal and staffing conditions at their libraries. They achieved this by collaborating in unique ways and holistically rethinking workflows across all library units to ensure efficient operations.

• Methods of initiating cross-department collaboration
• Ways of maintaining important relationships across departments
• How the shared knowledge and skills that the different departments (interlibrary loan, technical services, and circulation) already possess maps with the knowledge and skills needed in the other areas

In this session, I’ll detail the benefits of integrating a purchase-on-demand pathway into your existing ILL procedures for physical loan requests, highlighting how it improves loan fulfillment and turnaround times. I’ll discuss the basic structure and provide specific examples of parameters that individual libraries can set. Additionally, I’ll discuss various budget allocation options to support this. Finally, I’ll touch on potential issues that may arise with this automated collection development model such as savvy patrons attempting to circumvent the standard purchase request system and managing textbook requests.

The UConn Library recently completed a pilot project to re-envision the way we serve patrons with print disabilities. It provides a mechanism for these patrons to request print books in machine readable format, eliminating the innate disadvantage these users face when conducting research. We now receive and process requests for registered alternate media patrons more efficiently, and these patrons have better awareness about the service. It reduces barriers and allows them to be more independent.

Additionally, we work with the Center for Students with Disabilities to promote the service and develop a registration process that respects patron privacy. Behind the scenes, we utilize ILLiad, IDS Logic, and SharePoint to streamline our workflow. Designating a HathiTrust Disability Service Provider allows us access to resources already available as Optical Character Recognition (OCR) books and reduces our scanning. We will share our experiences and what we learned.

After recently implementing Digital Object Identifiers (DOI) features into our ILLiad configurations, our University of North Texas Libraries’ ILL team remodeled our borrowing processes into a tiered system based on ILL request complexity. This tiered approach has fundamentally changed how our ILL unit operates in various ways:

• Uniform custom layouts
• Updated automation
• Consistent workflows for all ILL borrowing processors
• Enhanced team communication through ILLiad
• Targeted, group-based training for all staff and students
• More efficient ILL staff time investment
• Groundwork for unmediated requests

Resource sharing on a global scale is increasingly a hot topic given patrons’ increased ability to discover items not held domestically, decreasing collection budgets to support purchasing these materials, expanding technology to communicate and track items globally, and the increasing use of common software platforms for interlibrary loan.

The RUSA STARS International ILL Committee distributed its quadrennial global resource sharing survey in 2023. This survey received 269 responses in seven languages from library professionals in 45 countries, and it provides a snapshot of the current state of international resource sharing. Join us as we delve into the survey data and learn what has stayed stable, what has changed in this bold new world, and where we (may) all be heading.
