9 Editing Authority Records

Chapter overview

This chapter describes editing techniques for all OCLC® interfaces, including:

  • Basic text editing for fixed and variable fields
  • Insertion of ALA characters
  • Reformatting and validating records
  • "Undo" functions
  • Lock and release operations

9.1 Introduction

Editing privileges

Editing privileges depend upon your authorization level. See section 2.1, "Authorization," for the table of functions associated with each authorization mode.

Editing

If you are authorized, you can perform all of these editing functions within all of the OCLC® interfaces:

  • Text edit (add new text, change or delete existing text).
  • Reformat (redisplay the current record removing empty fields and subfields and arranging variable fields in ascending numeric order).
  • Validate (check relationships between certain tags and subfields, check the contents of specific variable fields, and check combinations of tags, indicators, subfield codes, and fixed-field values).
  • Undo edit (return the record to its initial state, before you made any changes or to its last saved version).
  • Lock (Prevent any other user from modifying a master record).
  • Unlock (release the lock on a record).

Uneditable fields

You cannot edit the following fixed field elements and variable fields in any of the interfaces.

9.2 Connexion Browser Authority Records

In Connexion™ browser you must display an authority record in edit view before you can begin editing. This applies both to master OCLC authority records and to authority records that you retrieve from the OCLC Connexion online authority save file.

Accessing edit view

You can access the edit view either from the displayed record itself, or from a Search Results list of brief entries.

Variable field views

The variable fields of an authority record edit view may display in two different views: MARC Template and MARC Text Area. You switch between views using the View list.

9.3 CatME Authority Records

In CatME™ you can edit any record that is displayed in an active window. This means you can perform most editing functions either directly on an online OCLC Authority File record, or on a local copy of an authority record that you have previously saved (see chapter 10, Using Save Files, for more information about the local authority file). Online only functions are noted in the text.

Editing fixed field elements

To change the value of a fixed field element (mnemonic view only):

  Action

Switch from the variable field area to the fixed field area:

  • On the Edit menu click Fixed/Variable Field toggle.

    Or

  • Place the cursor on a fixed field element and click once.

    Or

  • Press < F6 >.

Click the arrow to open the list of values for the element.

Enter a value in the text box or click to select a value on the list.

Click the next element you want to edit.

Press < Tab > to move to the next element. Press < Shift >< Tab > to move to the previous element.


Editing variable fields

To change the value of or add/delete a variable field (mnemonic and tagged views):

If you want to... Do this...
Add new text
  1. Position the cursor at the insertion point:
    • Mouse: position and click.

    • Keyboard: press:
      • < down arrow > (one character down)
      • < up arrow > (one character up)
      • < right arrow> (one character right)
      • < Ctrl >< right arrow > (one word right)
      • < left arrow > (one character left)
      • < Ctrl >< left arrow > (one word left)
      • < Home > (beginning of current line at SOM [Start-of-Message])

Change existing text
  1. Highlight the text you want to change:
    • Mouse: press and drag.

    • Keyboard: press:
      • < Shift >< left arrow > (one character left)
      • < Shift >< Ctrl >< left arrow > (one word left)
      • < Shift >< right arrow > (one character right)
      • < Shift >< Ctrl >< right arrow > (one word right)
      • < Shift >< down arrow > (current line*)
      • < Shift ><up arrow > (line above*)

        *insertion point must be on SOM (Start-of-Message)
  2. Enter the replacement text. (See also Inserting ALA characters below.)
Delete existing text
  1. Highlight the text you want to delete (see Change existing text).

  2. Press < Delete >.

Add a new variable field
  1. Position the cursor at the end of the line below which you want to add the field:

    • Mouse: position and click.

    • Keyboard: press < End >.

  2. Press < Enter >.

Result: A new line opens up with an SOM (Start-of-Message) character in the first position. CatME adds an SOM when you press < Enter > unless you turn the option off in Tools/Options/General tab (a change does not take effect until you open another record).

Delete an existing variable field
  1. Highlight the entire field you want to delete:

    • Mouse: press and drag.

    • Keyboard: press < Home >, then press < Shift >< down arrow>.

  2. Press < Delete >.

Result: The field disappears from the record.

Delete a partial existing variable field
  1. Position the cursor at the point at which you want to begin deleting text.

    • Mouse: position and click.

    • Keyboard: press:

      • < down arrow > (one character down)
      • < up arrow > (one character up)
      • < right arrow> (one character right)
      • < Ctrl >< right arrow > (one word right)
      • < left arrow > (one character left)
      • < Ctrl >< left arrow > (one word left)
  2. Press < Enter >.

Result: The text is deleted from the cursor to the end of the current line.

MARC field help

If you have an active internet connection, you can access MARC definitions for the field/subfield you are editing.

In a displayed authority record, click to place the cursor in a field.

On the Help menu click MARC Field Help.

Or

Right-click and on the shortcut menu click MARC Field Help.

Result: CatME opens your default Web browser to a description of the MARC format for the specific field in MARC 21 Concise Format for Authority Data on the Library of Congress Web site.


Inserting ALA characters

To insert diacritics and special characters:

  Action
1 Place the insertion point where you want to insert the diacritic or character.

On the Edit menu click ALA Character Entry.

Or

Press < Alt >< E > then press < E >.

Result: The ALA Character Selection dialog box opens, showing the ALA standardized list of characters and diacritics.

3 Select language. Click the arrow to open the Language list. Click the appropriate language. Characters specific to the selected language are highlighted in the image area.

Select image. In the image area, click the box containing the character you want to insert.

Or

Select name. Click the arrow to open the ALA Character Name list. Click the name of the character you want to insert.

To insert one character, click Insert and Close.

Or

To insert more characters, click Insert. Repeat steps 4 and 5 for each character.

6 When finished inserting characters, click Close.

Reformat a record

To reformat an authority record in CatME:

Action Result

Display an authority record and:

  • On the Edit menu click Reformat.

    Or
  • Press < Alt >< E >, then press < O >.
CatME re-sorts the variable tags in correct numeric order.

Validate a record

To validate an authority record in CatME:

  Action
1 Display the authority record to validate.

In the menu bar, click Action then click Validate from the resulting list.

Or

Click this icon CatME Validate icon on the toolbar.

Or

Press < Shift >< F5 >.


  • CatME validates: Displayed bibliographic and authority local records when not logged on to OCLC Cataloging.

  • OCLC system validates: Displayed bibliographic and authority records (local or online) when logged on to OCLC Cataloging.

  • Results:

    • If a record contains no errors, the Validate status (VAL on the status bar) changes to c (completed). If a record is invalid, the validate status changes to * (failed).
    • The Validation Results window reports the type of error and the fixed field element or variable field that is invalid. This window appears only if a record is invalid.

Undo edits

To cancel all changes you have made either since the last action was taken or since you last saved the authority record click:

Press < Ctrl >< Z >.

The record returns to its previous state.

Lock/release records

You may lock and/or release both online OCLC authority records and locally saved authority records, but you must be logged on to lock or release them. You must be logged on to CatME to lock an authority record saved to a local file. If you are not logged on, the Lock choice on the Action menu remains unavailable (grayed out).

Locking authority records. To lock a record, on the Action menu click Lock.

If you lock a locally saved authority record, you lose any changes you have made because locking causes a new copy of a master record (that is, the master record at the time of the lock) to be automatically downloaded.

Releasing authority records. To release a record, on the Action menu click Release.

Copy control number

For convenience, CatME allows you to copy the OCLC authority record number to the Windows clipboard:

On the Edit menu click Copy Control Number.

Or

Right-click in the record, and on the shortcut menu click Copy Control Number.

Or

Press < Alt >< E > then press < Y >.

CatME copies the control number or ARN to the Windows clipboard. You can paste the number into any text area or document.

Note: There is no change to the screen as a result of this copy other than the closing of the Edit menu.

9.4 Passport Authority Records

In Passport you can edit any record that is displayed on the screen. This means you can edit either directly on an online OCLC Authority File record, or on a local copy of an authority record that you have previously saved (see chapter 10, Using Save Files, for more information about the local authority file).

Editing fixed field elements

Passport provides two ways to change the value of fixed field data. You may edit within the record itself, or you can edit via commands entered at the Home position.

Within the record. To change the value of a fixed field element:

Highlight the field value you want to change.

Do you want to change any other fixed field values?

  • If Yes: Repeat steps 1 and 2 as necessary.
  • If No: Go to step 4.

Press < F10 > to submit the changes.


At Home position. You change the value of a fixed field element by typing the field mnemonic followed by a colon followed by the field value:

[field mnemonic]:[field value]< F11 >

Examples: govt agn:z
  geo subd:n

You may enter multiple changes by separating the information for each element with a space.

Example:govt agn:z geo subd:n Auth/ref:a< F11 >

If you need to insert a fill character ( fill character ), enter a question mark in the field and press < F10 >. The system converts the question mark to a fill character when you reformat the record.

Editing variable fields within the record

Input modes. Passport allows you to enter text in two modes: overwrite and insert.

  • Overwrite mode (default) replaces existing characters with your entered characters, effectively removing the existing text.

  • Insert mode makes space for your entered characters by moving existing characters to the right, preserving the existing text.

You switch between overwrite and insert modes by pressing < Insert >. When you are in insert mode, the third cell from the right in the Passport status bar displays INS. When you are in overwrite mode, the cell is empty.

Updating text. To change the value of a variable field, modify the text and press < F10 > to submit the changes. When you modify anything within a field, the SOM (Start-of-Message) character at the beginning of the line reverses to white on black.

This table shows how to change the value of or add/delete a variable field:

If you want to... Do this...
Add new text
  1. Press < Insert > for insert mode.

  2. Position the cursor at the insertion point and enter the new text. (See also Inserting ALA characters.)

Change existing text Use the cursor to highlight the text you want to change, then enter the replacement text. (See also Inserting ALA characters .)
Delete existing text
  1. Use the cursor to highlight the text you want to delete, then press < Delete >. Or

  2. Position the cursor to the right of the text you want to delete and press < Backspace > repeatedly. Or

  3. Position the cursor to the left of the text and press < Delete > repeatedly.
Add a new variable field
  1. Press < Insert > for insert mode.

  2. Position the cursor at the end of the line below which you want to add the field and press < Enter >.

    Result: A new line opens.

  3. Press < Ctrl ><\>.

    Result: A white-on-black SOM (Start-of-Message) character appears.

  4. In the new field, enter:

    [line number] [tag] [indicator] [data]

    Be sure to use a new line number to avoid deleting an existing line. This new line number need not be sequential.

  5. Press < Ctrl >< Enter > to create an EOM (End-of-Message) character.
  6. Press < F10 > to submit the changes.
  7. Reformat the record to update the line numbers.
Delete an existing variable field

Use the cursor to highlight the entire field you want to delete, including the SOM (Start-of-Message), then press < Delete >.

Result: The field disappears from the record.


You may also edit text by using the Copy and Paste choices in the Edit menu, or by using the standard Copy and Paste toolbar buttons.

Note: Keyboard shortcuts < Ctrl >< C > and < Ctrl >< V > do not work in the default Passport installation.

Editing variable fields from the Home position

Passport provides a full set of commands to edit records from the Home position.

Update text. To add, change, or delete text from the Home position, you replace the entire contents of a line, following the format:

[line number] [tag] [indicators] [data]

Example:

You enter: 4 110 2 Australian Archaeometry Consortium< F11 >

Warning:

  • You must use the line number of the existing variable field that you want to change or you will inadvertently delete a line.

  • You must allow space for both indicators even if only one is defined.

If you send data longer than approximately 600 characters, the system automatically breaks the data into segmented variable fields.

Cut and paste. Use the Cut (cut) and Paste (pst) commands to delete a block of text and insert it at a different position.

To cut text, enter: cut [line number] < F11 > or
  cut [line number-line number] < F11 >

The system moves the specified lines to temporary storage and the message line displays: n lines copied.

Examples:

To delete... You enter...
line 4 cut 4 < F11 >
lines 6-9 cut 6-9 < F11 >

To insert text, enter: pst < F11 > or
  pst [line number] < F11 > or
  pst [line number] [segment number] < F11 >

The system pastes the lines in temporary storage following the last line, your requested line number, or your requested segment number. It assigns appropriate segment and/or line numbers, and the message line displays: Text pasted.

Examples:

You enter... Results...
pst < F11 > The text in temporary storage is pasted as the last line of the record.
pst 25 < F11 > The text in temporary storage is pasted immediately following line 25.
pst 25 [3] < F11 > The text in temporary storage is pasted at the end of segment 3.

Enter rf at the Home position to reformat the record.

Copy and paste. Use the Copy Text (ctx) and Paste (pst) commands to copy a block of text and insert it at a different position.

To copy text, enter: ctx [line number] < F11 > or
  ctx [line number-line number] < F11 >

The system copies the lines to temporary storage and the message line displays: n lines copied.

Examples:

To copy... You enter...
line 16 ctx 16 < F11 >
lines 21-24 ctx 21-24 < F11 >

Add new variable field. You can add a new variable field from the Home position two ways.

  • To add a new field at the end of the record, use a new line number and enter the field's tag, indicators, and data exactly as they should appear:

    99 410 2 Archaeometry Consortium, Australian < F11 >

  • To add a new field at a specific location between two existing fields, increment the line number that precedes the insertion point by a decimal value:

    4.5 410 2 Archaeometry Consortium, Australian < F11 >

You must reformat the record to display the tag in the desired order and update the line numbers.

Delete variable field. To delete an existing variable field or a contiguous group of variable fields, you delete the entire line or lines. At the Home position enter:

[line number] < F11 >, or
cut [line number] < F11 >

The message line displays: n lines deleted.

Examples:

To delete... You enter...
line 12 12 < F11 > or cut 12 < F11 >
lines 12-14 12-14 < F11 > or cut 12-14 < F11 >

Segmented variable fields

You edit segmented variable fields just as you would regular fields with the following exception: when you edit from the Home position you must:

  • Include the tag and indicators as well as the line number and the segment number when you edit by command from the Home position.

  • Enter the entire text of the segment, not just your changes; any text not entered is deleted.

Example: (OCLC ARN 3166667):

To change this text: Senate documents, House journal, House documents
To this text: Senate documents, House digest, House documents
You enter: 24 [2] 110 Senate documents, House digest, House Documents ... Senate reports, House reports, Senate < F11 >

Note: Changing the tags and/or indicators for one segment changes the tags and indicators for all segments in the field.

Cut and paste segments. Cut and paste variable field segments just as you would entire fields.

To cut (delete) one or more segments, enter:

  cut [line number] [segment number] < F11 > or
  cut [line number] [segment number-segment number] < F11 >

The system moves the specified segments to temporary storage and the message line displays: n lines moved.

Examples:

To delete... You enter...
segment 1 of line 6 cut 6[1] < F11 >
segments 1-3 of line 6 cut 6[1-3] < F11 >

To insert one or more segments, enter:

You enter... Results...
pst < F11 > The text in temporary storage is pasted as the last line of the record.
pst 25 < F11 > The text in temporary storage is pasted immediately following line 25.
pst 25 [3] < F11 > The text in temporary storage is pasted at the end of segment 3.

Note: If you cut a segmented field using the line number (cut 6), the system cuts the entire field and saves it as one field. If you cut segments (cut 6[1-3]), the system saves each segment as a field.

Copy and paste. Copy and paste variable field segments just as you would entire fields.

To copy one or more segments, enter:

  ctx [line number] [segment number]  < F11 > or
  ctx [line number] [segment number-segment number< F11 >

The system copies the specified segments to temporary storage and the message line displays: n lines copied.

To paste segments, see Cut and paste segments above.

Note:The system saves cut and copied text in temporary storage until you Cut or Copy again. You can paste the same text repeatedly.

Inserting ALA characters

To insert special characters and diacritics:

  Action

  • In the menu bar, click Edit then click ALA Character Entry... from the resulting list

    Or
  • Click this icon CatME ALA Character Entry icon on the toolbar.

Within the ALA Character Selection window, if you are working in a language other than English, click the down arrow at the right edge of the Language: box.

Result: The menu of languages is displayed.

With in the menu, click the language for which you wish to see the ALA character/diacritic set.

Result:

  • The menu closes and the selected language appears in the field.
  • The characters and diacritics associated with the language appear in the character image area.

Within the character image area, click the character you want to insert.

Result:

  • The character/diacritic image reverses to white on black.
  • The name of the character or diacritic appears in the ALA Character Name field.

If you want to:

  • Insert and then make another insert: click Insert.
  • Insert and exit ALA character entry: click Insert & Close.
  • Exit ALA character entry without inserting: click Close.

Reformat a record

To reformat an authority record in Passport:

Action Result

At the Home position, enter rf and press < F11 >.

Or

Press < F2 >.

The record is redisplayed with all variable fields displayed in ascending order and all empty fields removed.

Validate a record

To validate an authority record in Passport:

Action Result
At the Home position, enter val and press < F11 >.
  • Validation successful: The message line displays: Record Validated.

  • Validation unsuccessful: The message line displays an error message including the line in which the error occurs and a brief description of the error.


If there are multiple error messages:

To view... You enter...
the next message for < F11 > (or press < F2 >)
the previous message bac < F11 > (or press < Shift >< F2 >)

Undo edits

To cancel all changes you have made since you first opened the authority record, enter ue at the Home position and press < F11 >. The record is redisplayed in its initial state.

Save file. When you unedit a record retrieved from the save file, the system unedits only the modifications made after you retrieved the record.

Lock/release records

In Passport you lock an individual authority record while viewing it.

Lock. To lock a record, enter loc at the Home position and press < F11 >. The message line displays: Record locked. and the indicator LOC appears in the status line. Note: You cannot lock a record retrieved from the save file.

Retrieve and lock. If you know the OCLC ARN, you can display and lock a record in a single step with the following command. Use of the bracket ( [ ) and pound sign ( # ) are optional.

The system displays the record and locks it for editing.

Examples: loc 1229782

  loc [#1229782

Release. To release a locked record, display the record, enter rel at the Home position and press < F11 >. The message line displays: Record released and the indicator LOC disappears from the status line.

Automatic release. The system automatically releases records in the following circumstances:

  • System or network failure while displaying a locked record. If this happens, you may be unable to redisplay the record. In such cases the system releases the record at the end of the day.
  • Logging off while displaying a locked record.
  • Automatic logoff because of system inactivity (see section 2.6, "Inactivity Logoff,") while displaying a locked record.

Cancel modifications

The system protects records you are working on to prevent inadvertent loss of work. If you attempt an action that would cause loss of a modified, locked, or saved record, the system displays the modified record prompts:

Passport Modified Record prompt

You must select a prompt and press < F10 >.

Prompt Passport response
Cancel Cancels the last command.
Remove Removes the record and continues processing the last command. If the record was locked, the system releases the lock.
Save Saves the record and continues processing the last command.
Move Moves the record to the Copy Display and continues processing the last command.
Delete Deletes saved records from your Save file and continues processing the last command. Releases the record if it was locked.

Emergency exit

If for any reason you need to abandon an authority record without completing your editing work, enter ue (Unedit) at the Home position and press < F11 >. All of your changes are cancelled and the record is redisplayed in its initial state.

9.5 Connexion Client Authority Records

In Connexion client you can edit any record that is displayed in an active window.

Record view

Connexion client displays authority records in MARC Template view only.

Actions

You can perform the following edit actions on an authority record in Connexion client:

Saving changes

In order to retain any changes you make, you must export a record to a local file. Connexion client provides no online or local save file at this time.

Editing fixed field elements

To change the value of a fixed field element:

  Action

Use your cursor to highlight the value of the fixed field element you want to change.

Or

Press < F6 > until a fixed-field element value is highlighted.

Enter a new value in the text box.

Or

Press < Tab > or < Shift >< Tab > until the value you want to change is highlighted.

Note: Click on the fixed field element name, or tab to the name and press < Enter >, to open its description from Appendix C of this document.

Result:

  1. The new value appears in the field.
  2. A start-of-message character (start of message character) appears at the beginning of the fixed field element area.

Editing variable fields

To change the value of or add/delete a variable field:

Add new text
  1. Position the cursor at the insertion point:
    • Mouse: position and click.

    • Keyboard: press:
      1. Press < F6 > until a variable field is highlighted.
      2. Press < Tab > until the cursor is at the beginning of a tag, indicator, subfield.
      3. Press < right arrow> until the cursor is at the insertion point
  2. Enter the new text. (See also Inserting ALA characters below.)

Delete existing text
  1. Highlight the text you want to delete:
    • Mouse: press and drag.

    • Keyboard:
      1. Position the cursor at the beginning of the text you want to delete (see Add new text, above).
      2. Press < Shift >< right arrow > to highlight the entire text you want to delete.
  2. Press < Ctrl >< X > or < Delete >.
    Or
    On the Edit menu, click Cut.
Add new variable field
  1. Position the cursor within a field that is above or below where you want to add the new variable field:
    • Mouse: position and click.

    • Keyboard:
      1. Press < F6 > until a variable field is highlighted.
      2. Press up arrow or down arrow to reach the correct field.
  2. To insert a variable field above the current field:

    • Mouse: on the Edit menu, click Insert Blank Field, then click Above Current Field in the resulting sub-menu
    • Keyboard: press < Shift >< Enter >
  3. To insert a variable field below the current field:

    • Mouse: on the Edit menu, click Insert Blank Field, then click Below Current Field in the resulting sub-menu
    • Keyboard: press < Enter >

Result: A new field opens up with a start-of-message character at its left edge.

Delete an existing variable field
  1. Position the cursor within the field that you want to delete:
    • Mouse: position and click.

    • Keyboard:
      1. Press < F6 > until a variable field is highlighted.
      2. Press up arrow or down arrow to reach the correct field.
  2. To delete:

    • Mouse: on the Edit menu, click Delete Field.
    • Keyboard: press < Alt >< Del >

Press < Ctrl >< E >

Result: The Enter Diacritics and Special Characters dialog box opens.

  1. Click the down arrow to open the Language list.
  2. Select the language of your search.

Or

  1. Press < Tab > until the Language list is highlighted.

  2. Use the up arrowdown arrow keys to highlight the language of your search.

Result: Valid diacritics/special characters for your selected language become highlighted.

Click the diacritic or special character you want to insert, then click Insert and Close.

Or

  1. Press < Tab > until the Character list is highlighted.

  2. Use the up arrowdown arrow keys to highlight the desired character.

  3. Press < Tab > until the Insert and Close button is highlighted.

  4. Press < Enter >.

Result: The character appears with the selected diacritic or special character.

5 Repeat steps 1-4 to enter additional diacritics or special characters.

Reformat a record

To reformat an authority record in Connexion client:

Display an authority record and:

  • On the Edit menu click Reformat.

    Or
  • Press < Ctrl >< R >.
Connexion client re-sorts the variable tags in correct numeric order.

Validate a record

To validate an authority record in Connexion client:

  Action
1 Display the authority record you want to validate.

In the Edit menu, click Validate.

Or

Click this icon CatME Validate icon on the toolbar.

Or

Press < Shift >< F5 >.

Results:

  • If a record contains no errors, the Validate status (Validate- on the status bar) changes to C (completed). If a record is invalid, the validate status changes to F (failed).
  • The Validation Results window reports the type of error and the fixed field element or variable field that is invalid. This window appears only if a record is invalid.

Undo edits

To cancel all changes you have made either since the last action was taken or since you last saved the authority record click:

Action Result

In the Edit menu, click Cancel Changes.

Or

Press < Ctrl >< Shift >< Z >.

The record returns to its previous state.

Copy control number

For convenience, Connexion client allows you to copy the OCLC authority record number to the Windows clipboard:

Action Result

On the Edit menu click Copy Control Number.

Or

Press < Ctrl >< T >.

Connexion client copies the control number or ARN to the Windows clipboard. You can paste the number into any text area or document.

Note: There is no change to the screen as a result of this copy other than the closing of the Edit menu.
