20 Printing from Request Manager

20.1 Overview

WorldCat Resource Sharing provides Adobe ® Acrobat ®-based utilities that allow you to print:

  • Requests (three formats)
  • Shipping/Return labels (three formats)
  • Book Straps
  • Book Stickers

20.2 Printing Requests

The WCRS Category Selection: Printing screen allows you to print requests in three formats:

  • One fully-formatted request per page
  • One abbreviated request per page
  • Two abbreviated requests per page

You can print in sets of up to 100 requests. Printing begins with the uppermost category selected in the Borrowing area.

Access

You access the WCRS Category Selection: Printing screen by selecting the View link in the Printing area of the Request Manager screen.

Printing requests

Before you begin. If you are printing over 100 requests (multiple sets of 100 requests each) and you are using Microsoft ® Internet Explorer, you must modify a Downloads security setting to download and print the second and subsequent request sets. See Modifying Internet Explorer, below.

  Action
1 Choose the categories you want to print by checking each category's Select check box.
Note 1: If you want to print all Borrowing or all Lending categories, check the corresponding Select All check box(es).
Note 2: When you print Review or Pending requests, Request Manager automatically updates those requests to Review In Process and In Process, respectively. If you want to bypass the auto-update and keep these requests in their current categories, check the Do not auto-update... check box. This check box has no effect unless the Select check box is also checked.
2 In the Select Printing Format area, choose whether you want to print:
  • A full request per page
  • One request per page (default)
  • Two requests per page
Note: If you choose a setting other than the default, that setting remains in effect for your current FIrstSearch session only.
3 Do you want to print now?
  • If Yes: Go to the next step.
  • If No: Select Request Manager to return to the Request Manager screen.
4 Select Print Selected Categories.
Result:
The page header is displayed, overlayed by your browser's File Download window.
5 Select the option that opens the file; this may be Open or Open with/OK.

Result: Adobe Reader opens the file in a separate window.
6 Enter <CTRL> P to open the Print dialog box. Be sure that Page Scaling is set to None, then select OK.

Note: When you have selected more than 100 requests, the Print Next Set  Print icon icon appears in the upper right corner of the formatted requests page. Select this icon to print the next set of 100 requests.

Modifying Internet Explorer

In order to print over 100 requests you must modify the Downloads security setting.

  Action
1 In the menu bar select Tools, then select Internet Options.

Result: The Internet Options window opens.
2 In the Internet Options window, select the Security tab, then select the Custom Level button.

3 Scroll down through the settings to the Downloads area. Under Automatic prompting for file downloads, select the Enable radio button, then select OK.

Result: A confirmation window appears.
4 Within the confirmation window, select Yes.
Result: The confirmation and Security Settings windows close.
5 Within the Internet Options window, select OK.
Result: The window closes.

20.3 Printing Single Shipping/Return Labels

When processing requests individually, you can automatically create a .pdf file containing shipping and/or return labels for the requests that you have just updated. Request Manager extracts address information from each request's Ship To: and Return To: fields and automatically formats it to match one of three common label types.

In order to create a label for an individual item, you must check the Print Shipping Labels or Print Return Labels check box on the request.

You can create labels after these updates:

Lender Borrower
Pending to Shipped (respond Yes) Shipped to Received (respond Receive with Today's Date)
In Process to Shipped (respond Yes) Received to Returned (respond Return with Today's Date)
Conditional/Pending to Shipped (respond Yes) Recalled to Returned (respond Return with Today's Date)
  Renewal OK to Returned (respond Return with Today's Date)
  No Renewal to Returned (respond Return with Today's Date)
  Special Message: Received? to Received (respond Yes This Item Was Received)
  Special Message: Overdue to Returned (respond Return with Today's Date)

Label types

These label types can be used:

  • Avery ® 5260, 8160
  • Avery 5262, 5162, 8162
  • Avery 5264, 5164, 8164

Label format and layouts

Address length.  All label addresses are limited to a maximum of six lines except for the Avery 5262 and 8160 which are limited to five lines. Although a request's Ship To: and Return To: fields do not limit the number of lines you can actually enter, only the specified number of lines will be extracted for label printing.

ZIP code/POSTNET(TM) barcode.  Whenever possible the ZIP code will be extracted and converted to a POSTNET barcode. The ZIP code does not need to be in the last address line, but it must be in one of the following formats:

  • Five digits: nnnnn
  • Five + four digits: nnnn- nnnn
  • Nine digits: nnnnnnnnn

Label position.  Labels are numbered from left to right, top to bottom, starting at the upper left corner of a sheet.

Shipping OR return labels only.  When you request only shipping labels or only return labels, the label sheet fills out in the order shown above.

Shipping and companion return labels.  When you request shipping and return labels for the same item, the Ship To: label print first, followed by its companion Return To: label.

Shipping labels and independent return labels.  When you request shipping and return labels for different items, the shipping labels print first, preceded by a marker label. The return labels are then printed, also preceded by a marker label.

Partial sheets

You may use a partial label sheet. On the Label Printing Options screen, you must enter the number of the last vacant label location.

Note: OCLC does not recommend using partial sheets and is not responsible for paper jams or printer damage that results from this practice.

Print labels

To print single labels.

  Action
1 After you have completed processing all individual requests, return to the Request Manager screen.
2 Select the Print link for Mailing Labels (n shipping, n return) in the Printing area at the bottom right of the screen.
Result: The Label Printing Options screen appears.
3 Select a label format from the drop-down menu.
4 Indicate what types(s) of labels you want to print by checking the appropriate check box(es).
Note: The default is to print a companion return label for each shipping label. If you do not want to print a return label, un-check this check box.
5 For Avery 5164 labels only: Include one or more of the optional messages by checking the appropriate check box.
Note: If you have chosen a type other than Avery 5164, these check boxes remain unavailable (grayed out).
6 Is your first label sheet a partial sheet?
  • If Yes: Enter the number of the last vacant label location in the Labels missing from the top... box (see Partial Sheets above).
  • If No: Go to the next step.
7 Select Format Labels.
Result: Your browser displays a dialog box which is labeled File Download or Opening labels.
8 Select the option that opens the file; this may be Open or Open with/OK.

20.4 Printing Batch Shipping/Return Labels

For selected batch updates, you can automatically create a .pdf file containing shipping and/or return labels for the requests that you have just updated. Request Manager extracts address information from each request's Ship To: and Return To: fields and automatically formats it to match one of three common label types.

You can create labels as part of these batch updates:

  • Pending to Shipped (Lender responds Yes)
  • In Process to Shipped (Lender resonds Yes)
  • Received to Returned (Borrower responds Return With Today's Date)
  • Received (Special Message: Overdue) to Returned (Borrower responds Return With Today's Date))

If your updates do not include at least one of these, the Create Labels button on the Batch Processing Results Summary screen remains unavailable (grayed out).

Print labels

To print labels from batch processing.

  Action
1 Access the Batch screen by selecting Batch in the Navigation menu:

2 Select an Action (Next Step) to which you want to assign requests.
Result: The Batch Processing screen appears.
3 Begin the batch update process by adding Request IDs to the Request Identifier box. Do not select the Update All Categories button.
For information about the Batch Update process, select the Help Help icon icon on the Batch screen.
4 Do you want to print labels for an additional category?.
  • If Yes: Return to the Batch screen and repeat Step 1.
  • If No: Select Update all categories.
Result: The Batch Processing Results Summary screen appears.
5 Select Create Labels.
Result: The Label Printing Options screen appears.
6 Select a label format from the drop-down menu.
7 Indicate what types(s) of labels you want to print by checking the appropriate check box(es).
Note: The default is to print a companion return label for each shipping label. If you do not want to print a return label, un-check this check box.
8 For Avery 5164 labels only: Include one or more of the optional messages by checking the appropriate check box.

9 Is your first label sheet a partial sheet?

20.5 Printing Book Straps

When processing interlibrary loan requests you can automatically create a .pdf file containing book straps for the requests that you have just updated. Request Manager extracts and automatically formats information from each request.

The Book Strap Printing Options form allows you to choose book straps or book stickers. Book stickers must be printed separately (see section 20.6, "Printing Book Stickers").

You can create book straps after these updates:

  • Pending to Shipped (Lender responds Yes)
  • In Process to Shipped (Lender responds Yes)
  • Conditional/Pending to Shipped (Lender responds Yes)
  • Shipped to Received (Borrower responds Receive with Today's Date)

Individual or batch update

You can create book straps when updating individual requests or updating in batch.

Individual requests. In order to create a book strap for an individual item, you must check the Print Book Straps check box on the request before updating.

Batch processing. In order to create one or more book straps during batch processing, you must check the Print Book Straps check box on the Batch Processing screen. If you have checked the check box for an individual request, Yes appears in the Print Book Straps column of the Request Identifier box once you have selected Add.

Layout

Book straps are 2-3/8" x 9-1/2" and printed three per standard 8-1/2" x 11" sheet. You will need to manually cut the straps apart.

Content

Each book strap contains the following information:

Request ID barcode Due Date
Author Borrower's OCLC symbol
ISBN or ISSN(if both are present, only the ISBN is shown.) Lender's OCLC symbol
Patron Name Return address(es)

Print book straps

To print book straps:

  Action
1 After you have completed processing all individual requests, return to the Request Manager screen.
2 Select the Print link for Book Straps in the Printing area at the bottom right of the screen.
Result: The Book Strap Printing Options screen appears.
3 Select Print Book Straps.
4 Select the Format button.
Result: Your browser displays a dialog box which is labeled File Download or Opening labels.
5 Select Format Labels.
Result: Your browser displays a dialog box which is labeled File Download or Opening labels.
6 Select the option that opens the file; this may be Open or Open with/OK.

20.6 Printing Book Stickers

Book stickers are approximately 3-1/2" x 2-1/2". They are formatted to print 6 per sheet on Avery label stock: 5264, 5164, 8164. Labels are numbered from left to right, top to bottom, starting at the upper left corner of a sheet.

Content

Each book sticker contains the following information:

Partial sheets
