12 Processing Unsubmitted Requests (Borrower)

Chapter overview

This chapter describes the actions that you can take and the subsequent status for WorldCat Resource Sharing requests with the status Review, Review In Process, or Save.

12.1 Unsubmitted Requests

Unsubmitted requests are requests that have been generated electronically by patrons or set aside by you for re-examination. They have been:

  • Forwarded by an external system (such as OCLC FirstSearch) and not yet been forwarded to the Lender(s) in the lender string.
  • Updated to Save status (valid action on Unfilled, Expired, New, or Conditional requests)

When a request is saved, the system assigns a Review Number to track the information. The Review Number becomes a Request Identifier once the Workform is submitted. Only the borrowing library has access to unsubmitted Workforms.

Request aging

Unsubmitted requests retain their respective status as follows:

Review 14 system days
Review in Process 14 system days
Save 14 system days

Aging is counted from the day the original Interlibrary Loan Request (patron) or Workform (staff) was submitted.

12.2 Next Steps/Actions

Apply Constant Data in Review status

When you retrieve a request with the status Review, it imports constant data from the active Constant Data Record. Once you modify and update the request, the active Constant Data Record can no longer overwrite fields. You can, however, apply other Constant Data Records.

To apply a different Constant Data Record:

  Action
1 Select the down arrow at the right of the Apply Constant Data: field, then choose a Constant Data Record from the drop-down list.
Result: This message appears below the Control panel:
Constant Data Record has been applied: [record name]
2 Select the Update button.
Result: The Update Confirmation screen appears, with this message:
Record has been updated: [review number]

Note: If you leave the Display screen before selecting the Update button your changes are lost.
3 Use the Redisplay Request  Redisplay Request icon icon to return to the request, or the Next arrow to view the next request.

View bibliographic data

If a request contains an OCLC record number, you can view the corresponding bibliographic record by selecting the Display Bibliographic Data link next to the Apply Constant Data: field.

The resulting WorldCat Detailed record screen contains an Apply to Review Record  Export icon icon in the Control panel. Selecting the icon transfers additional information from the bibliographic record to the request.

View holdings

Once you are viewing the WorldCat Detailed Record, you can use any of the links under the record's Availability heading to view holdings on the Libraries that Own Item screen. These links may include:

  • Libraries worldwide that own item
  • Regional Holdings
  • State Holdings
  • Group Holdings
  • Custom Holdings Path holdings (if your library has one or more Custom Holdings Paths defined)

Link path from request to Libraries that Own Item screen.

Selecting one of the links displays the Libraries that Own Item screen with the corresponding holdings information.

Update editable fields

You can edit certain fields on unsubmitted requests. Enter new or update existing information, then select the Update button. Note that updating one or more editable fields does not re-set the existing request ageing interval.

Because requests may be only partially completed at this stage, be sure to check the following required fields:

Field Description
Lenders: Complete or edit the lender string.
Need Before: Check date to give enough time to obtain item.
Title: Complete or edit the title string.
Verified: Enter the source of the bibliographic citation or location data. OCLC indicates that the initiating Workform was based on a WorldCat record.
Ship To: Check that the address is complete.
Bill To: Check that the information is complete.

Also check the following:

Field Description
Direct Notes: Check for information or error messages added by the OCLC ILL Direct Request service.
Patron: Ensure format matches your institution's standard method of entry (for example, "lastname, firstname" format).
IFM Is IFM required by your library?
Max Cost Is the user's Max Cost sufficient?

Updating one or more editable fields does not re-set the existing request ageing interval.

Update to Review In Process status

If you feel a Review request needs more attention, you can update it to the Review in process status. Note that the status update does not re-set the 14-system-day request ageing interval.

To update a request to Review In Process:

  Action
1 Select the Review in Process radio button.
2 Select the Update button.
Result:
  • The Update Confirmation screen appears, displaying this message: R ecord has been updated <Request ID>
  • The request status changes to Review in Process.
Note: If you leave the Display screen before selecting the Update button your changes are lost.
3 Use the Redisplay Request  Redisplay Request icon icon to return to the request, or the Next arrow to view the next request.

Submit the request

When you determine that a request is accurate and complete, you can submit it, that is, send it to the first Lender in the lender string. The request is forwarded to the first Lender with a status of Pending.

To submit a request:

Select the Submit button.
Result:
The Request Confirmation screen appears, displaying this message:
Your resource sharing request was sent successfully

Delete the request

If you determine that a request is a duplicate or is no longer necessary, you can delete it. The request is archived to Closed Requests with a status of Cancelled — Borrower — Closed on yyyymmdd.

To delete a request:

  Action
1 Select the Delete radio button/check box.
2 Select the Update button.
Result: The Update Confirmation screen appears, displaying this message:
Record has been updated [request identifier]
Note: If you leave the Display screen before selecting the Update button your changes are lost.
3 Use the Redisplay Request  Redisplay Request icon icon to return to the request, or the Next arrow to view the next request.

This is the Borrower's view of an example Pending request that has been reviewed and submitted to the first Lender via WorldCat Resource Sharing.
