11 Choosing Lenders (Borrower)

This chapter describes how to select potential lenders from holdings displays associated with WorldCat bibliographic records.

11.1 Overview

One task in completing a Workform is to identify institutions that hold the item. Another is to choose those to whom you will send your request.

Suppliers and nonsuppliers

OCLC members are categorized as suppliers (willing to lend through WorldCat Resource Sharing) and nonsuppliers (not willing to lend through WorldCat Resource Sharing) of interlibrary loan materials. Supplier/non-supplier status is strictly determined by each member. Institutions that are suppliers show yes in the Supplier column of the Libraries that Own Item screen.
Note: You may include a symbol in your lender string even if it is not listed on the Libraries that Own Item screen as long as the institution is an OCLC ILL supplier.

Custom Holdings

You may already have established borrowing and lending partners. Custom Holdings Groups allow you to define preferred groups of lenders for common types of requests. See Custom Holdings in Chapter 5, "Resource Sharing Functions in the WorldCat Services Administrative Module" for more information.

Lender ILL policies

To check the policies of potential lenders or document suppliers before including them in your lender string, use:

  • OCLC Policies Directory at: https://illpolicies.oclc.org/ (login and password required). This document provides a profile including OCLC symbol, supplier status, OCLC Regional Service Provider, group affiliations and lending/request/delivery details. The Directory is searchable by OCLC symbol or institution name.
    Note: You may access a library's listing in the Directory via the red question mark (?) adjacent to its OCLC symbol in any of the holdings tables.

11.2 Libraries that Own Item screen

The Libraries that Own Item screen displays a list of libraries that hold a particular library resource. Use this screen to quickly locate potential lenders and transfer OCLC library symbols to the staff Workform.

Access

You can access the Libraries that Own Item screen from the Availability area of the List of Records and the Detailed Records screens. You can choose the scope of the holdings information that you want to view.

Regional Holdings A list of libraries in your own state and in states contiguous to your own state that hold the item
State Holdings A list of libraries only in your own state

Lenders

The Lenders: field below the Control panel contains a text box that allows you to enter OCLC symbols for up to five potential lenders and ten additional lenders. You can use the additional lenders if the request goes unfilled without having to search and display holdings again.

To automatically transfer a symbol to one of the boxes, select the symbol in the Code column of the Holdings table. When you have chosen your lenders, select the Transfer to ILL Staff workform button. A Workform is generated, populated with:

  • The OCLC symbols you entered: the symbols of potential lenders appear in the Lenders field in General Record Information and the symbols of additional lenders appear in the Locations field in Borrowing Information
  • Data from the bibliographic record
  • Borrowing information from the active Constant Data Eecord

Holdings table

The Libraries with Item/Regional Holdings/State Holdings table includes the library location, name of the holding library, local holdings information if available, OCLC interlibrary loan supplier status, the library's OCLC symbol, and a direct link to the library's Quick View description in the OCLC Policies Directory [a red question mark (?) adjacent to the OCLC symbol].

To sort the table by the information in a column, select a column heading.

This column... Contains...
Location Location of the holding library, listed as follows:
  1. Your library group (if any), identified by the In Your Library Group  Library Group icon. icon.
  2. Your library's state
  3. Surrounding (that is, contiguous) states
  4. Remaining states and US territories in alphabetical order
  5. Global locations by country in alphabetical order
Library The name of the holding library. When linked, selecting the name displays local ownership details in the library's own catalog.
Local Holdings
(serials only)
Summary holdings information, including volumes and years held.
Supplier yes if the library is a supplier; otherwise blank.
Code
  • 1) OCLC institution symbol of the holding library
  • 2) A link (red question mark) to the library's Quick View description (if present) in the OCLC Policies Directory

No holdings available

If no holdings exist for a bibliographic record, the system responds with one of the following messages:

Message Meaning
>No holdings in [State, Region, or Group] No holdings in your state, region, or group.
>No ILL Custom Holdings No holdings within the Custom Holdings Groups included in your active Custom Holdings Path.
No preferred lenders found Institutions within your active Custom Holdings Path hold the item but they are nonsuppliers.
No library ownership information at this level No holdings are shown anywhere in WorldCat
WorldCat indicates that no libraries in the chosen custom holdings path own this item None of the libraries in the selected custom path hold the item.

Return to Detailed Record screen

To return to the WorldCat Detailed Record screen, select the Return  Return icon icon in the Control panel.
