Add your knowledge base collection data in Collection Manager

Add your knowledge base collection data in Collection Manager to represent the e-resource titles in your collection.

Have you selected the databases that will be available to search in your library's WorldCat Discovery interface? If not, sign in to OCLC Service Configuration and add your databases. Include in content searched by default. See the configure licensed content and databases tutorial for help. Proceed to add your collection metadata for full-text links.

If you are a WorldShare Interlibrary Loan or ILLiad library, before your set holdings in WorldCat, make sure you create a deflection policy. Most libraries experience an immediate increase in lending requests after setting holdings in WorldCat.

Configure settings and set holdings in WorldCat

Sign in to the WorldShare interface. Click the Metadata tab. Expand Collection Manager and click Settings. See the settings listed below. For more information and for details on all of the settings you see in the Collection Manager interface, please see all Collection Manager settings.

1. Configure the general settings:

  • OCLC Symbol: Verify that your symbol is selected.
  • Proxy and Authentication - Proxy: Enter your information so that your remote patrons will be directed through your proxy server.
  • Provider Settings: Some providers require that you enter an ID. The identifier is required for your links to resolve.
  • WorldCat Discovery:
    • Coverage: This setting only applies to print serial collections you have added in Collection Manager.
    • Display order: Elevate a vendor's links to appear first in your Discovery interface. When your patrons search your WorldCat Discovery interface, links available from multiple sources will appear in the sort order you specify. Example order:
      • Your providers of individual journals (non-aggregated content)
      • Your providers of aggregated content

2. Set holdings in WorldCat and enable holding reports:

  • WorldCat Holdings: Enable the setting. Doing so will display your institution's OCLC symbol on the associated titles in WorldCat. The titles will appear in search results as held by your library and coverage information from your knowledge base collection will be read by WorldCat Discovery.
  • Reports: Enable record reports to get email notification when your records are available. Reports that reflect changes in your holdings in WorldCat are also available.

Enable full-text links in OCLC Service Configuration

Sign in to OCLC Service Configuration.

  • Navigate to the My > Full Text and Open Access Links.
  • Check Links from the WorldCat knowledge base to full text content under Detailed Record.
    This will automatically select the settings for links to appear on the detailed record and on the brief record on the search results page. If for some reason you do not want links in search results, adjust the Search Results setting.

Elevate links in your WorldCat Discovery interface

If desired, you can elevate resources from a selected provider to display first in search results from your WorldCat Discovery Interface.

Test your links

After you check the option in OCLC Service Configuration to enable full-text links, links will appear in your WorldCat Discovery interface. The "View full text" section of the results is driven by your WorldCat knowledge base data.

Open a browser and go to your library's WorldCat Discovery URL. Perform a search for an item you know is in your WorldCat knowledge base (that you added or selected in Collection Manager). Click the link to test it and see if you can view the full-text item.  


Create a link to your A to Z list (optional)

Every WorldCat Discovery library has an A-Z list, a patron-facing page that makes it possible to search the knowledge base titles you have represented in Collection Manager.

To create a link to your institution's A-Z list for WorldCat Discovery:

  • Sign in to OCLC Service Configuration:
  • Navigate to Inbound Links and A-Z, Full Text OpenURL Resolvers (incoming requests)
  • Find your Base URL (Version 2). This is the link URL for your A-Z list. An example URL is:
  • Copy your Base URL
  • Navigate to My, User Interface Options
  • In the Custom Links section:
    • Select other as the custom link type and specify your display text
    • Paste the URL for your A-Z list
