3.4 Profile Worksheet and ExamplesProfile worksheet optionalYou can create a maximum of 100 Direct Request profiles. Using the worksheet in the Appendix of this Guide is optional. You create your profiles on the ILL Direct Request Web site. However, using the worksheet as a tool, you can develop a well-constructed set of profiles that is easier to track and maintain. Profiles define eligibilityThe worksheet helps you identify groups of requests that are eligible for the Direct-to-Profile option. If a category of requests is ineligible, do not create a profile for that category. For example, if your library does not allow patrons to borrow sound recordings, do not create a profile that includes sound recordings. Getting startedBefore you begin, gather the following information:
Worksheet examplesRefer to the descriptions of profile elements in section 3.2 while completing your profiles. To demonstrate how a table can represent profile criteria, use the example below. Read a column aloud using an and connector between row headings in the statement. Commas represent or connectors. (Note: Your profiles will include more criteria than this brief example.)
For profile 1 in this example, the appropriate statement is: IF the request is from a person with the patron status Faculty and the type of request is a loan THEN the request is eligible for ILL Direct Request using the FYLOAN profile. In the previous example, notice that the criteria for both profiles are identical except for Patron Status. The columns could be combined like this, creating a single, efficient profile:
For this profile, the appropriate statement is: IF the request if from a person with the patron status Faculty or Staff and the type of request is a loan THEN the request is eligible for ILL Direct Request using the FYSTLOAN profile. Based upon this example, a request from a faculty member for a sound recording would be ineligible for ILL Direct Request. TipIf you use the same name for the constant data record, Custom Holdings path, and Direct Request profile for a particular group of requests, it is easier to track their relationships when you need to fine tune criteria for ILL Direct Request. When any or all applies for a profile elementFor profile elements with multiple values (for example, patron departments or bibliographic formats) indicate on your profile worksheet that any or all of those values are valid for the group of requests you are profiling. This serves as a visual cue for you when proofreading the worksheet. However, you cannot enter the value any or all in the online Direct Request profile. When creating your online profile, select criteria from a list only when you want requests with that criteria to be eligible for ILL Direct Request. If you do not select an item, you are indicating that the profile element is not relevant to the group of requests you are profiling. For example, if a request for any bibliographic format is eligible, do not select a format from the list. If you select every bibliographic format in the list, you preclude any new format designation that may become valid in the future.
