1. WorkformMapping table is empty error message

    Added: 20081114

    Description: In most cases this error message means that the Delivery Location (NVTGC) box in the patron record in the ILLiad client:

    • is blank OR
    • has an incorrect value

    If the problem is intermittant, use the procedure below.

    If the problem is persistent, contact OCLC Support.

    Procedure: Edit the patron information and supply or re-assign a Location value.

      Action
    1 In the ILLiad Client, access the User Lookup and Edit screen and display the informaition for the patron experiencing the problem (how?).

    Select the ellipsis box (...) at the right of the Location field.

    Result: The Confirm Change Location dialog box appears.

    Select Yes to close the dialog box.

    Result: The Change User Location dialog box is now visible.

    To change the location:

    If your site is... Do this...
    Single server ILL is the only delivery location shown.
    1. Select ILL.
    2. Select the Update button (becomes active once a location is selected).
    Shared server You must assign the location from a list.
    1. Select the down arrow at the right of the New Location field to open the location list.

         
    2. Select the patron's location from the list.
    3. Select the Update button (becomes active once a location is selected).

    Result: The Change User Location dialog box closes.

    Select Save Changes.

    Result: An information box with this message appears: Changes Saved.

    6 Select OK to close the box.
    7 Try to request the patron's item again using the OCLC button within the General Request Information screen.

    Recommended followup: Determine if there are other patrons with missing or invalid Location values.

      Action
    1 Select Clear to remove any search terms and patron information.

    Select Search to return the entire database.

    Result: The area to the right becomes populated with information for all of your patrons.

    Scroll to the right in the upper right area until you see the NVTGC column.

    Note: You may want to resize the columns to make the area easier to read.

    Select the down arrow at the right of the NVTGC label.

    Result: The list of all current NVTGC values is displayed.

    Select the blank line.

    Result: The entire patron list is sorted starting with patrons whose NVTGC value is blank.

    Use the previous procedure to supply a Location value for each patron.

    Note: Be sure to save changes after each new Location is assigned.

2. ILLiad updates are available but after running Auto Update no update(s) are listed.

    Description: There are two possible reasons for this:

    • If you ever received instructions from Atlas Systems regarding the downloading of preview or beta software, you may still have your AutoUpdater pointing to a beta update server. You must locate the file that directs you to the beta server and disable it. See Procedure: Beta Server, below.

    • You might have an outdated version of the ILLiad AutoUpdater. This file resides in the \illiad\admin folder on your Illiad server. There are two ways to determine the version you are currently running. See Procedure: Outdated AutoUpdate, below.

    Procedure: Beta Server: To locate the file that directs your client to the beta server:

      Action
    1 Navigate to the \illiad folder on your server and locate the file named updater.txt. You may also just search your server for this file.
    2 Did you locate the file?

    Delete updater.txt.

    Note: If you feel you may need this file at some point in the future, you may rename rather than delete it.

    Re-start AutoUpdater.

    Result: You should see your updates in the upper right area of the Updated screen.

    Procedure: Outdated Auto Update. You can detemine your current AutoUpdate version using Windows Explorer or the ILLiad Customization Manager.

    • Method #1: Windows Explorer.

        Action
      1 Open Windows Explorer and navigate to the contents of the \illiad\Admin\ directory.

      Locate the file ILLiadUpdate.exe. Right-click on the file, then select Properties in the resuting drop-down.

      Result: The ILLiadUpdate.exe Properties window opens.

      3 Select the Version tab.

      Note the listed File version.

      You must have the current version to update TO that version.

      Example: If you are updating from 7.2.2.1 to 7.3.0.0 you must have ILLiadUpdate.exe version 7.3.0.0.

      If the file in your admin folder is the incorrect version, you must copy the correct version to this folder. See Get Current Version, below.

    •  

    • Method #2: Customization Manager.

        Action
      1

      Open ILLiad Customization Manager and navigate to \System\Versions\, then select VersionAutoUpdater.

      Result: AutoUpdate information is displayed in the information pane.

      Note the listed Key Value.

      You must have the current version to update TO that version.

      Example: If you are updating from 7.2.2.1 to 7.3.0.0 you must have ILLiadUpdate.exe version 7.3.0.0.

      If the file in your admin folder is the incorrect version, you must copy the correct version to this folder. See Get Current Version, below.

    •  

    • Get Current Version.

        Action
      1 Open Windows Explorer and navigate to the contents of the \illiad\setup\AutoUpdaterUpdates\ directory.

      Double-click on the directory for the most recent update.

      Result: The directory contents are displayed..

      Copy the ILLiadUpdate.exe file from this folder to the \illiad\admin\ folder.

      Note: Do not run this file from the \illiad\setup location. This will cause problems later on in the update.

3. In Ariel 4.x, ILLiad fails to delete items from the Ariel database.

    Description: Ariel 4.x uses a database (located on its own machine) to track all files that are received. ILLiad must communicate with this database in order to delete files once they have been imported into ILLiad. In order to do this:

    • ILLiad must know the path to the Ariel database.
    • ILLiad uses the default database username and password that are built into the ILLiad client.

    Incorrect configuration of one or more Ariel keys can cause the failure to automatically delete documents: ArielDatabaseAddress, ArielPath, and ArielType. You verify the settings of these keys using Customization Manager.

    Procedure: Begin by opening ILLiad Customization Manager and navigating to \Electronic Delivery\. Keys are listed alphabetically so the Ariel... keys are listed first.

    Select each key and review is information.

    • ArielDatabaseAddress.  The Key Value setting represents the IP address of the Ariel machine where the database resides. It can be on the local Ariel workstation or on another machine on the network. Note: The ArielDatabaseAddress key is valid only for Ariel 4.x and higher

      Setting Description
      (localhost) This setting indicates that ILLIad will look for the database on the local machine and not go out to the network. In some instances, this setting will work fine. If it does not work, see local loopback.
      local loopback This setting uses the local loopback address: 127.0.0.1. If this setting does not work, or if your local network/security policies do not allow its use, see IP address.
      IP address This setting uses the actual IP address of the network machine on which the Ariel database is installed.


    • ArielPath.  The Key Value setting is the path on the local workstation where the electronic items are processed. The default folder is: C:\Program files\Ariel\In\ . You must include the trailing backslash or the path will not be read properly. ILLiad stores the .tif file it received from Ariel in this folder while working on it.

    • ArielType.  The Key Value setting depends which version of Ariel you have.

      For this Ariel version... Use this setting...

    Login and password: ILLiad is expecting to use the default SQL logon of sa and the default password that comes with Ariel. If that password has somehow been changed, ILLiad will not be able to remove the Ariel documents.

    To reset that password, contact your Ariel provider or consult your Ariel documentation for assistance. OCLC Customer Support has no information about Ariel password assignments.

4. Removing Copyright Payment(s) from an ILLiad transaction

    Description: If copyright fees have been erroneously been applied to an ILLiad transaction you can remove them.

    Procedure for ILLiad 7.3 and higher:

      Action
    1 In the ILLiad Client, access the General Update Form screen for the request from which you want to remove the Copyright Fee (how?).

    In the Menu bar, select Process, then select Remove Copyright Payment Information from the resulting drop-down menu.

    Result: An information window appears asking you to confirm the removal.

    3 Select Yes to close the information window.
    4 Select Save Changes, then close the request.

    Procedure for ILLiad 7.2.2.1 and lower:

    This procedure prevents the request from showing up on your Copyright Report. OCLC suggests that you add a note to the transaction stating that no copyright fee was actually paid for this item.

      Action
    1 In the ILLiad Client, access the General Update Form screen for the request from which you want to remove the Copyright Fee (how?).

    In the Item Information area in the upper right of the screen, locate the Item Information list of check boxes.

    3 Check the Copyright Already Paid? check box.
    4 Select Save Changes, then close the request.

5. When ILLiad receives an OpenULR request (from any server) for materials such as DVDs, maps, videos, these requests come through as Article requests

    Description: The OpenURL standard (Section 5.4.1, Table 5.6) identifies seven types of Journal Metadata Genre that are used in processing requests between an OpenURL-compliant database and an OpenURL-complient client such as ILLiad. These types are:

    Journal, Issue, Article, Conference, Proceding, PrePrint, Unknown.

    By default, ILLiad is configured to send OpenURL requests having a genre of unknown (Rft_genre=unknown) to the Article request form. If you want to change the form that opens when a request arrives with genre=unknown, you must change two keys in the OpenURLMapping table:

    • genre (older OpenURL standard)
    • rft.genre (current OpenURL standard)

    If you would like to see exactly what your OpenURL-compliant database is sending, see "Using the OCLC OpenURL Deconstructor, below.

    Procedure: Although this procedure shows you how to change the mapping of any of the unknown value to Book, you can use this procedure to change any mapping in the table.

      Action

    Open ILLiad Customization Manager and navigate to \Web Interface\OpenURl\, then select OpenURLMapping.

    Result: The OpenURLMapping table is displayed.

    Note: Due to differences in system configuration, your table may have values different from those shown here.

    Scroll down until you find a group of rows with Substitute:genre in the ILLiadAction column.

    Scroll to the right until you see unknown in the OpenURLFieldValues column; single-click to mark (highlight) this row.

    Note: You may want to resize the columns to make the table easier to read.

    4 Scroll further to the right until you see the IlliadValue column. The default value should be: Article:Article:ArticleRequest.html.

    Double-click the highlighted row.

    Result: The Edit Row opens in the lower half of the screen.

    Highlight the current ILLiadValue string, then enter: Loan:Book:LoanRequest.html and press <ENTER>.

    Note: Table values are case-insensitive.

    Select Save.

    Result: The Edit Row disappears.

    8 Scroll farther down until you see a group of rows with Substitute:rft.genre in the ILLiadAction column.
    9 Repeat steps 3 through 7 to change the Illiadvalue for this row to Loan:Book:LoanRequest.html. Be sure to select Save.

6. Using the OCLC OpenULR Deconstructor

    Description: The OCLC OpenULR Deconstructor tool allows you to view what version and fields are being sent to your ILLiad client:. You must copy and paste the entire URL, plus all of the accompanying string data, into the Deconstructor.

    Procedure:

      Action
    1 Access the OCLC OpenURL Deconstructor at: http://partneraccess.oclc.org/wcpa/servlet/OUExplain2/.
    2 In a provider's database (such as EBSCO, SerialSolutions, CSA), locate the record for the item you want to borrow.

    Identify the link you would select to request the item. Example link labels include:

    • Get it now
    • Get this item
    • Borrow this item
    • Interlibarary loan

    Note: For OCLC FirstSearch, any OpenURL links that have been configured in the WorldCat Services Administrative Module appear in the External Resources: area of the Get This Item section of the Worldcat Detailed Record screen.

    Right-click the OpenURL link and select Copy Shortcut from the resulting drop-down menu.

    Return to the OpenURL Deconstructor, and paste the shortcut.

    Select Explain.

    Result: The URL is deconstructed into a table presenting its various fields and their values.
