Past enhancements to WorldCat Resource Sharing

.PDF output of request printing   (Completed: January 2008)

WorldCat Resource Sharing users will be able to export a .PDF file one- and two-per-page printouts in January. This will improve readability and compatibility with Mozilla Firefox and IE 7.0

Changeing to .PDF allowed a redesigned both the one- and two-per-page printouts to reflect the needs of user needs with respect to font size and layout.

Users will be able to access printing by going to the print screen in Request Request Manager.

 After clicking on “view” categories, users will see the screen below. NOTE the red warning that Page Scaling must be turned off in Adobe Reader to print correctly (this is the same as with shipping labels). Users should select the category (categories) they wish to print and then the printing format of either one- or two-per-page. The default print format remains one request per page.     Once the printing format is selected, users should click on the Print Selected Categories button at the top of the page.

Users can either save or open the .PDF.

If there is nothing in a particular field, there will be no field label nor will there be additional white space on the page.

Additional Deflection Policies   (Completed: December 2007)

Cost: Lenders are now able to set a pricing threshold that says "if the borrower's maximum cost is less than my charges, deflect it. A lender just needs to add a currency value, e.g. 10 or 10.00 in the box. The value must be numeric and may include a decimal point but does not have to for example the prices entered into the box could be 10, 10.00, or 10.25.

Age of Material: Lenders are now able to state that they will not lend materials that are of a certian age. Libraries can state that they wish to deflect requests for materials that are less than XX years old or greater than XX years old. This is based on the publication date and not on when the holdings was set to indicate how long an item has been in a library's collection.

Last Lender in the Lender String: Lenders are now able to state that requests be deflected unless they are the last lender in the lender string. In effect this is a deflection override. If a lender is an EMST library and they appear in the 4th and 5th postion in the lender string the request will be deflected.

For example, OCL has a "last in Lender sting deflection policy" this what would happen based off of where they are in the lender string:

1. TRN, SER, OCL, AZU, OCL -OCL will receive the requestwhen the 5th lender is the string is reached (in the 3rd postion they'll be skipped)

2. TRN, SER, OSU, AZU, OCL -OCL will recieve the request

3. SER, TRN, OCL, OCL, OCL  -OCL will not recieve the request at all.

Change in how "Not found as cited" is handled  (Completed: October 2007)

When the reason for no is "Not found as cited", the request will be immediately returned as Unfilled for the borrower to correct the citation. It will no longer be routed to any additional lenders.


New reason for no: Not licensed to fill  (Completed: October 2007)

Users can now more accurately represent their reson for not filling a request with a new reason for no within the drop down menu: "Not licensed to fill." This explanation should be used when the lending library owns the item but due to contractual obligtions are unable to fill the borrowing request.


Ablity to print labels without being in batch  (Completed: October 2007)

Users can now print labels when individual requests are processed as well as through batch.

Just select the "Print Shipping Labels" checkbox while  updating the request within the normal workflow:

Once completed  updating the records click on Printing in the menu bar or on the Request Manager landing screen. There will be Mailing Labels and the Print.

Once the Print button is pushed the Label Printing Options page will appear where the user can select the lable size that is needed. From there the .PDF will apear and will be ready to print out.


Ability to view 99  requests on Request Manager screens.  (Completed: September 2007)

Users can now view 20-50-75 or 99 requests when displaying categories in the Request Manager.


GAC, GAC/UL and UL Affiliations displayed in lender requests  (Completed: July 2007)

Lenders can now see a listing of the GAC, GAC/ULs and ULs that both they and the borrowing library have in common. This will improve the lender workflow, making it easier to recognize partners with whom they have lending agreements and more accurately make policy decisions, apply constant data and lending charges.


.PDF exporting of shipping labels  (Completed: July 2007)

From the batch processing screen users can now export shipping lables to a .PDF. WorldCat Resource Sharing will support the following label formats: 5160, 5162 and 5164. If additional formats are needed by a critical mass of libraries, we'll consider adding formats.

Once a lender has updated their 'pending' or 'in-process' requests or a borrower has updated their 'returns' via batch processing, they'll see a button that lets them indicate if they want to create labels.

When the user clicks on that button a screen pops up prompting users to select a label size. Depending on the selected size, users will be presented with various options for what they would like printed on each label.

If a lender has said YES, they want to print shipping labels they may choose to print return labels for each shipping label that they may include when sending items to the borrower.

All printing options appear, however if a certain item will not fit on the chosen shipping label size, users will see the option but not be allowed to select it. These include the following options:

"Mailed under section 135.4 Postal Manual LIBRARY MATERIALS" notice

Request ID barcode

"POSTMASTER: This parcel may be opened for postal inspection if necessary" notice.

"RETURN POSTAGE GUARANTEED" notice

Users may also, at their own risk, reuse a page of labels. On the options page, users can indicate how many labels are missing from the top of the page (counting left to right, top to bottom). Please note that OCLC is not responsible for labels that fail to print correctly or jam in printers. Neither label stock companies or printer manufacturers recommend this practice.

Label settings are stored in cookies and will remain persistent until the user changes the label format or the selected options.

Once the user navigates away from the Batch Processing Confirmation page they will no longer be able to export the data in order to print shipping labels.

Ability to search an archive of requests  (Completed: April 2007)

Users of WorldCat Resource Sharing are now able search an online archive of completed requests by request ID. Additional search parameters will be available in the future.


Additional format for Policies Directory Deflection: e-AudioBooks  (Completed: April 2007)


Ability to designate delivery options in Constant Data  (Completed: January 2007)

In order to further automate processing, a new field for electronic delivery options now appears in Constant Data Options for use in Constant Data. Supported are Ariel IP, Ariel MIME, Odyssey, Skype, Yahoo Instant Messenger and Windows Live Messenger.


Additional Local Holdings data on lender requests   (Completed: November 2006)

Lender requests in WorldCat Resource Sharing now include additional fields from the Local Hldings Record, as edited in Connexion. Currently, summary information is the only data included on the display, this enhancement will include the call number field and many other fields.


Ability to designate delivery options in Staff Workform  (Completed: November 2006)

New fields are now available on the staff work form for users to designate additional delivery methods, including address fields for Odyssey, and Ariel (FTP and E-mail).

On staff workforms users must manually type their electronic delivery addresses. In the coming 2-4 months these fields will be added to Constant Data to further automate processing.

New fields now appear in the Borrowing Information section of the workform.


Request Manager search box appears on additional screens  (Completed: November 2006)

To streamline workflows, the ability to search for requests has been added to additional screens in the Request Manager. Up until now, the ability to search for requests in the Request Manager was only available in the Request Manager landing page.


Link from WorldCat Resource Sharing to WorldCat Services Administrative Module  (Completed: August 2006)

Users can now save time and effort with the addition of a button in WorldCat Resource sharing that will launch a session of the WorldCat Services administrative module for editing of custom holdings, profiles, etc. without having to re-enter an authorization and password.

This button appears on all resource sharing-specific pages of WorldCat Resource Sharing.

When a user clicks on the button, they are taken to the resource sharing landing page in the WorldCat Services administrative module.

 


Constant data persistence is now optional  (Completed: August 2006)

When requests are processed through WorldCat Resource Sharing, a default constant data (CD) record is automatically applied to requests as they’re produced. Users have the option to choose another constant data record, and that CD record is then applied to future requests until a different CD record is chosen. CD records will fill in blank fields in a request and not overwrite fields that already have data.

While this works well for the majority of our users, we’ve heard from other users that they would prefer to choose CD records individually and to not have data from a previous CD record present when a subsequent request is displayed.

With the most recent install of WorldCat Resource Sharing users now have the option of not having a default CD record applied and turning of persistence. In the administrative module, where users set up and edit CD records, there isa new field at the top where users can decide whether or not Constant Data should act persistently. Unless users make a change, Constant Data will continue to work as it does now.

When constant data persistence is turned off and a user calls up a request in the review file, NO constant data will be applied. Users that wish to use constant data must manually select a CD record if persistence is turned off.


Link to Local Holdings Record (LHR) in Connexion browser  (Completed: June 2006)

The link to the Local Holdings Record (LHR) in Connexion allows users of WorldCat Resource Sharing to edit local holdings. Resource sharing staff may set local holdings to reflect their reproduction and lending policies on an item-by-item basis at the point of need. This means that users of WorldCat Resource Sharing no longer have to work through catalogers to change LHR data. Users will be able to streamline their workflow.

At the top of the WorldCat Resource Sharing detailed record

At the top of the holdings screen

And from the lender’s pending category in the Request Manager

The link takes users directly to the relevant LHR (or to a bibliographic record if no LHR exists) in Connexion for your institution.

The local holding record is consulted first, before the Policies Directory deflection settings. In field 008 - Fixed-Length Data Elements Bytes 20 and 21, settings a, b & c (byte 20 only) will override any setting in the Policies Directory. If an LHR is set to l or u, the request will be processed according to any deflection policies set by lenders.

If your institution uses different authorizations/passwords for resource sharing and cataloging, the link below directs you to a form that may be filled out and submitted in order to add Connexion to your resource sharing authorization, allowing you to link directly into Connexion: https://www3.oclc.org/app/sysacc/header.pl. You must use identical authorizations and passwords for both resource sharing and cataloging for this feature to work. If either the authorization or the password is different, you will not be able to logon seamlessly.


Policies Directory and WorldCat Resource Sharing Auto-Deflection  (Completed: June 2006)

In the Policies Directory, lenders can now set up policies that will deflect requests they will not fill so they will no longer receive unfillable requests. This lowers turnaround time and borrowers can deliver materials to their end users faster. Instead of an unfilled request remaining in the pending status waiting for potential lenders to manually deny the request, the Request Manager skips lender based on deflection policies and automatically moves the request to the next lender in a matter of seconds.

This enhancement benefits all users of WorldCat Resource Sharing, OCLC ILLiad and other resource sharing systems that send requests through OCLC Resource Sharing.

Lenders, in the Policies Directory, may set deflection criteria for borrowing requests to bypass the manual lending process of request management. The deflection may be based on the request service type, format type and group membership. The default setting is for no deflection policies to be set. No data from users' informational Copy or Loan policies has been migrated to the Deflections policies. These policies are independent of Deflections policies.

Deflection policies read from information contained within the bibliographic record for individual items. We are unable to perform deflection based on specific collections such as Reference, Genealogy, Juvenile Materials, etc.

Logon to the Policies Directory at: http://illpolicies.oclc.org.

Click on My Units in the upper right-hand of the screen

Click on the link with your institution’s name and then dlick on the Policies tab.

In the same location where you create and update Copy and Loan policies, a new Deflections link appears.

Click on the NEW button and you will be taken to a screen to fill out the relevant fields.

You must provide a name for your policy, this name should be meaningful to you, but has no effect on what is or is not deflected in the lifecycle of a request. For example, by naming your policy Reference, it does not mean that you will receive no requests for material in your reference collection. Deflection is based on elements found in the bibliographic data, thus formats instead of collections. This is a required field.

Select whether the policy affects only copies, only loans or both copy/loan requests. This is also a required field.

The Deflection Type default for a new policy is set to “Enable real-time deflection”. However, we have provided the ability to turn off a deflection policy without deleting it. This allows lenders to bypass a policy for an individual borrower or use policies on a more limited basis.

A deflection policy may combine formats and/or OCLC profiled groups. Users may not deflect all formats for everyone, thereby setting themselves as non-suppliers. We have implemented the ability to deflect on 21 different formats. A detailed list of formats and their definitions may be found in the Policies Directory "Help" file.

Each format or group must be chosen individually from the drop-down list of formats, but multiple formats or groups may have deflection applied in the same policy. For example:I may set a policy to state that I don't want to receive requests for copies of e-serials, sound recordings or visual materials in the same policy. If a format or group is selected by mistake, clicking on the minus button next to the format/group name as displayed in the list will remove it from the list.

Save the policy.

Once a deflection policy is enabled and saved, it takes effect immediately.

If multiple policies are created, the deflection process looks at the first policy, then the second and so forth. Once a request meets the deflection criteria set forth by the lender, it will be sent on to the next lender.

An example:

A request comes in for a manuscript; after the system has looked at the LHR bytes 20 and 21 it will look at deflection policies. It will look at the first policy outlined below and see that the request is not for an e-serial, so it looks at the second policy. The second policy states that the lending library does not copy or loan manuscripts. The result of this request is that request will move onto the next lender and in the request history, the borrowing library will see that the item was automatically deflected.

On the borrower side

Once a request has been placed that might trigger deflection of a request, it will skip past that lender in 10-20 seconds after being placed. If the borrower returns to the request after it has been placed, the asterisk indicating the current lender will have moved to the next lender. The Request History will indicate Auto-Deflection: format type or profiled group or multiple reasons.


Ability to update requests without printing  (Completed: May 2006)

Users will be able to use the batch functionality to update review requests to review-in-process and pending requests to in-process using batch functionality, bypassing printing these requests.


New borrowing category of review-in-process for WorldCat Resource Sharing  (Completed: May 2006)

A new category of review-in-process will be implemented for WorldCat Resource Sharing.


Printing one request per page  (Completed: March 2006)

WorldCat Resource Sharing now has a new, default, format for printing. In addition to printing a full request on multiple pages and the truncated two requests per page print format, users can now print full request information on a single page.


Printing Book Straps and Stickers  (Completed: )

Lenders will have the ability to print out book straps and/or stickers for their outgoing materials.

Next to the check box for Print Shipping Labels in Pending, and In Process records users will see a Print Book Straps check mark box. Users can select one or the other or both check boxes.

Once users are done processing navigate to the printing screen. Here a new printing category has been added. Click on the Print button.

Clicking on the Print button will take the user to Book Strap Printing Options page. Here users will be able to select either book straps or stickers. For stickers users must use Avery Removable laser Multi-Purpose Labels, Product number 6464, users are able to determine where on the sheet of labels the printing will start by stating how many stickers are missing from the top of the page.

Once a user is done with their modifications they then should click format. Clicking for Format button send a call to create the .PDF users must have Adobe Acrobat. The .PDF will display with removable stickers. Users should not close the .PDF file until it is confirmed to have printed without incident.

 Back at the Printing Options Page users could have also decided to print bookstraps instead of stickers. To print book straps all users need is regular 8 ½ x 11” paper and Adobe Reader. Users can click on the Book Straps radio button and then the format button.

Clicking the format button will send off an action to retrieve the .PDF it is advisable to not close this document until users have confirmed that the printouts printed without incident.

Change in the Display of the Renewal Date  (Completed: )

Users will now have a record of the due date if the second renewal request has been denied.

Before the November install the first due date was lost and only the orginal date was present in the record after a second renewal request was denied.

Now the first renewal date will be present in the "Due Date:" field


Detailed Description on Label Format   (Completed: )

Users now have a more descriptive definition for the label sizes including additional label formats and the number of labels on a sheet.
