OCLC Resource Sharing Enhancements

OCLC has released a number of enhancements to the WorldCat Resource Sharing service, in response to user requests and in preparation for the upcoming transition to the new OCLC WorldShare™ Interlibrary Loan Service.

Link to WorldCat Resource Sharing news

A link to WorldCat Resource Sharing news is now included on all pages of the WorldCat Resource Sharing service. This gives you easy access to information about recent and upcoming enhancements to the service as well as announcements of upcoming webinars.

Deflection by ILL license terms

OCLC libraries that have loaded their e-content holdings into the WorldCat knowledge base and activated the link to WorldCat Resource Sharing can now deflect lending requests for items with ILL license terms that do not allow loans.

"Future date" option discontinued

In preparation for functionality within the new OCLC WorldShare Interlibrary Loan service, we have removed the "Future Date" option from WorldCat Resource Sharing. Lenders may continue to respond with "Yes," "No" or "Conditional."

Electronic Delivery Options settings in WorldCat Services administrative module

A new option in the Electronic Delivery Options section of the WorldCat Services administrative module enables library staff to indicate methods other than Ariel, Odyssey, Skype, Yahoo! Messenger and Windows Live Messenger through which they wish to receive electronic files. The new “Other” entry can be used for additional electronic delivery methods such as OCLC’s new Article Exchange document-sharing site.

New "lost" status

You can now update ILL requests in the categories "Overdue," "Renewal," or "Recalled" to a problem status of “Lost.”

Increased number of Direct Request book records retrieved for ISBN search

Direct Request for books will now search and select the appropriate bibliographic record from up to 25 records returned on the ISBN search. The previous limit was five records. This should improve the number of Direct Requests for books that are actually processed by the service.

Addition to "Reason for No" monthly report for Conditional responses

When a borrowing library cancels a request in a Conditional status, the "Reason for No" monthly report will provide the text, "Cancelled by Borrower."

E-mail from anywhere via ISO ILL

Libraries that are configured as ISO ILL can now e-mail ILL requests from any status in the interlibrary loan process.

Web services updates

OCLC has updated the Web services used by our partners to communicate with WorldCat Resource Sharing. These partners include CLIO, RapidILL, Relais and others. The version 1.6 Web service supports all of the changes made to WorldCat Resource Sharing outlined above. OCLC has also updated the Web service used by our partner, Atlas Systems, the developers of ILLiad.

OCLC Policies Directory Enhancements

OCLC has made several changes to the OCLC Policies Directory that expand search options and customize the number of days required to respond to interlibrary loan requests.

To effectively benefit from these and future enhancements, log in to the Policies Directory and update your library’s policies to:

Indicate your library’s lender fees (or lack of fees).

Set the number of days your library needs to respond to requests (if more than 4).

Search enhancements

Search by lender fee and currency

Library staff can now search the OCLC Policies Directory by lender fees and currency. The search returns a list of institutions with policies that indicate a fee of less than or equal to the amount searched. A policy must contain lender fee information in order for it to be included in search results. Libraries with no lender fee value entered in their copy or loan policies will not be included in search results.

To make sure your library is included in lender fee searches: Log in to the Policies Directory and enter a value in this field. If you do not charge a fee, enter the value “0.00” to indicate no charge.

In August 2012, OCLC will enter a default value of 0.00 (zero) in the fee field for all libraries that have not yet entered this information. At this time, if you wish to represent a fee other than 0.00, you must update your Policies Directory profile with this information.

Search by lender fee and currency

NEW: Set the number of days your library needs to respond to requests

As part of our preparation for the new OCLC WorldShare™ Interlibrary Loan service, library staff can now indicate the number of days they require to respond to an ILL request. This new setting goes beyond the “Enter my symbol twice” option to enable setting this value to 4, 8, 12, 16 or 20 days.

With the release of this enhancement on May 20, we set every library’s default to 4 days. If you wish to change your response timeframe to 8, 12, 16 or 20 days, log in to the Policies Directory to make the change.

In addition, library staff may now search on the number of days needed to respond to a request. In the future, the new WorldShare™ Interlibrary Loan service will use the setting to display this information when library holdings are displayed.

CALIS joins OCLC Resource Sharing

CALIS, the China Academic Library and Information System, joined OCLC's global resource sharing network effective March 1, 2012. This extends the possibilities for international resource sharing of academic library materials.

The China Academic Library and Information System (CALIS) has loaded 500,000 monograph records into WorldCat that became accessible to WorldCat® Resource Sharing users on March 1, 2012.

CALIS will loan book chapters and articles, but not physical books. The monograph records all contain the OCLC® symbol "CALIS" and are owned by academic members of the CALIS consortium. The records are for monographs published from 1987 to 2001 in the fields of philosophy, economics, science of law, education, literature, history, management, science, technology, agriculture and medical sciences.

Borrowing libraries should anticipate longer response time for fulfillment to allow CALIS to process requests. Normally, CALIS will process and fill a document delivery
request for book chapters and articles within two to three business days.

To celebrate CALIS' participation in OCLC's global resource sharing network, the first 500 requests to CALIS and the first 500 requests from CALIS to other libraries will be filled at no charge. These requests must be coded "IFM" in the MAXCOST field.

Guidelines for requesting CALIS items

The CALIS monograph records in WorldCat all contain the OCLC symbol "CALIS" and are owned by academic members of the CALIS consortium.

All loan requests will go through CALIS, which will confirm ownership of requested items and coordinate fulfillment with the borrowing and lending libraries.

Borrowing libraries should anticipate a response time of two to three business days for most document delivery requests for book chapters and articles.

These documents can be conveniently delivered through OCLC's Article Exchange document-sharing site, which is accessible from within WorldCat Resource Sharing and an add-on to the ILLiad® Resource Sharing Management Software.

Relais International partners with OCLC to share data and services from the OCLC WorldShare Platform

DUBLIN, Ohio, USA,29 February 2012 – Relais International, which provides systems to support interlibrary loan and document delivery services, has signed an agreement with OCLC that will allow mutual subscribers access to WorldCat data and OCLC services through the OCLC WorldShare Platform.

Under this new partnership, Relais will use the WorldCat Search API so that library staff can search WorldCat from within Relais to retrieve holdings information. Relais will also use the WorldCat Resource Sharing API so that requests and updates can be sent to and received from the OCLC WorldCat Resource Sharing service.

These options for access to OCLC will be available to Relais users whose institutional holdings are visible on WorldCat.org and who subscribe to the WorldCat Resource Sharing service. Libraries that qualify for keys to the APIs will be able to activate the services within Relais.

This partnership is facilitated through the new OCLC WorldShare Platform, which enables OCLC and library partners to configure and share a wide range of applications that deliver new functionality and value for libraries and their users.

"This new agreement will allow Relais resource sharing users to expand the reach of their searches to include the thousands of OCLC Resource Sharing libraries worldwide," said Chip Nilges, OCLC Vice President, Business Development. "We're pleased to have Relais as a partner, creating more value for libraries through collaboration on the OCLC WorldShare Platform."

As an OCLC partner, Relais is considering using other APIs to gain access to the OCLC Policies Directory and the newly deployed Article Exchange document-sharing site.

OCLC adds 500,000 records to WorldCat from China Academic Library and Information System

DUBLIN, Ohio, USA,16 February 2012 – OCLC has added 500,000 records to WorldCat from the China Academic Library and Information System (CALIS), a nationwide academic library consortium with a mission to promote, maintain and improve resource sharing among Chinese university libraries and other libraries and institutions. These records represent Chinese publications between 1987 and 2001.

The records have been added to WorldCat to help promote the use of the CALIS collection and use of OCLC resource sharing services in libraries in China, and to maximize each organization's strengths in enhancing cooperative building and sharing of information resources on a global scale.

The project to load these records into WorldCat completes phase one of a cooperative agreement between CALIS and OCLC. After a year, CALIS and OCLC will evaluate the project, based on cost to both organizations, global impact on scholarship and society, effectiveness of resource sharing and document delivery, and overall impact in libraries.

On October 25, 2011, Jay Jordan, OCLC President and CEO, and Professor Wu Zhipan, Executive Vice President, Peking University, signed a memorandum of cooperation at Peking University, Beijing, China.

"OCLC is honored to enter into this important cooperative relationship with CALIS," said Mr. Jordan. "This new effort by CALIS and OCLC to expand our cooperative resource sharing capabilities will benefit scholars and researchers worldwide."

"We are pleased to cooperate with OCLC," says Zhu Qiang, Director of Peking University Libraries, "so that libraries outside China can access Chinese information through OCLC, the world's largest library cooperative, and Chinese libraries can also access information that is not available in China."

Article Exchange integrated into the WorldCat Resource Sharing service

DUBLIN, Ohio, USA,17 January 2012 – Following a successful five-month trial, the Article Exchange feature is now available within the WorldCat Resource Sharing service and, where available, through an ILLiad add-on. This new feature is available at no charge to OCLC libraries that use WorldCat Resource Sharing and ILLiad Resource Sharing Management Software, and will be offered in WorldCat Navigator, in regions where available, and VDX later this year.

Article Exchange provides a single, secure location where lending libraries can place and borrowing libraries and their users can retrieve requested articles obtained through interlibrary loan. Lending libraries scan documents and upload them to the site and notify the borrowing libraries of the documents’ availability. The site generates a unique URL and password for each document. An e-mail button enables the lender to insert the borrower’s e-mail address and send the link directly to the library.

Once a file has been retrieved, it remains available for five days or five views. After 30 days, unviewed files will be removed. A file can be picked up a maximum of five times for each URL/password combination. Access to the current experimental site will end on January 31.

"I supply articles to on-campus students, faculty, staff and a large number of distance education students and faculty across the country," said Janice Murphy, Interlibrary Loan Coordinator, St. Joseph’s College of Maine. "Article Exchange saves us a lot of time and money. For all of these reasons—file size, firewalls or full mailboxes—we wanted to shift away from e-mailing PDFs. Posting to Article Exchange on the Web eliminates some of the problems we encountered in the past."

"I appreciate how delivery and storage satisfies vendors' copyright restrictions and how Article Exchange is able to accommodate various file sizes," said Robyn Clark-Bridges, Evening Supervisor & Interlibrary Loan Associate, Mount Mercy University. “I also appreciate how easy it is to use!"

"Article Exchange is a drop box for resource sharing people," said Katie Birch, Portfolio Director, OCLC Delivery Services. "It is document delivery in the cloud, and it supports our Webscale strategy of delivering efficiencies that provide new ways to share resources and innovation."

An OCLC Resource Sharing and ILLiad Users Group Meeting will be held on Sunday, January 22 from 4:00 to 5:30 p.m. at the Dallas Convention Center, Room D227, during the ALA Midwinter Meeting. To register for this event or other OCLC events in Dallas, visit the OCLC website.

For those unable to attend the ALA Midwinter Meeting, OCLC will hold an OCLC Resource Sharing and ILLiad Users Group Virtual Meeting on January 26, from 1:30 to 3:00 p.m., Eastern Time. Register for this event through the OCLC website.

November 2011 WorldCat Resource Sharing enhancements

On November 13, OCLC released a number of enhancements to the WorldCat Resource Sharing service. Enhancements include the ability to update a request to LOST, hotlinked URLs in the ALERT field and more, to provide you with additional control, and help speed placement and fulfillment of requests.

The following new features are now included in OCLC Resource Sharing subscriptions at no additional charge to subscribers:

Ability to update a request to LOST
WorldCat Resource Sharing now supports the ability for the borrowing library to update request to a status of LOST when the library has confirmed that a borrowed item has been lost.

URLs in ALERT field are now "HOT"
The ALERT field in the WorldCat Resource Sharing ILL workform now supports hot linking. If a valid URL is placed in the ALERT field by a lender, the borrowing library will be able to click the link to invoke the URL. In the past, the borrowing library had to cut and paste the URL into a web browser. The hot linking functionality supports the newly introduced e-book delivery service from Ingram Digital. When a library requests an e-book from Ingram Digital via the IDILL symbol, Ingram will place the URL to the e-book in the ALERT field. With this enhancement, libraries can now click on the URL directly from within the WorldCat Resource Sharing workform and go to the landing page for the e-book.

Deflection by LHR (local holdings records) will be displayed when a request is deflected based on the byte set in the LHR
When a lender has set deflection of a particular item using the holding byte in the LHR (local holdings record) on the bibliographic record, WorldCat Resource Sharing will display the deflection rule as "AUTO-DEFLECTION: LHR". This will also appear in the OCLC Usage Statistics Reasons for No reports.

Article Field separated into Article Author and Article Title
To support the upcoming migration to the future delivery service, WorldCat Resource Sharing will modify the ILL workform to more closely match the new workform that will be available in the future delivery service. The current Article field that contains both the article author and article title will be broken into two distinct fields, Article Author and Article Title.

Improved ILL statistics and assessment tools
A new assessment tool titled "The Journal Titles Borrowed Report" will provide WorldCat Resource Sharing subscribers with up to 12 month’s of data that counts the total number of journals the library requested. Included in the report are the number of journal titles requested and the number filled. In addition to the journal title, the report also includes the OCLC record number and ISSN.

Enhancements to statistics include:

Turnaround time format updated from days to days/hours/minutes/seconds

Additional statistics for the OCLC ILL Direct Request Service

Additional statistics for WorldCat knowledge base subscribers

For resource sharing subscribers with their holdings in WorldCat knowledge base:

Support for Direct Request for E-book Chapters.
Libraries that have their holdings information in the WorldCat knowledge base will now be able to create a Direct Request profile that supports the ability to handle e-book chapter requests by allowing a search for e-books requested as a copy or non-returnable

Ability to supply lender with ILL license rights to lend for all electronic content
WorldCat Resource Sharing will now display to the lender, explicit statements that will tell the lender that they may not lend e-content based on their license contract for that journal title.

Article Exchange will soon be released as a service option within WorldCat Resource Sharing, ILLiad and VDX/Navigator. Once the functionality becomes available, to upload a file to Article Exchange the library must be a WorldCat Resource Sharing subscriber with a valid OCLC Authorization. For more information, visit Article Exchange on the web.

We need your ideas, your experience, your expertise. Now’s the time to get creative and submit your proposal ideas.

Plans are already in full swing for the 2012 ILLiad Conference. The location is once again the beautiful Hilton Virginia Beach Oceanfront hotel. We expect the conference to be a sellout, as it is every year, when more than 300 ILLiad users come together to see what's new and learn tips and tricks from colleagues and Atlas staff.

Pre-Conference: March 21, 2012
Conference: March 22-23, 2012

Deadline for Presentation Submissions: November 28, 2011

Details on Conference Programs

Conference programs are one hour.

Programs can be single presenter or panel.

Programs can be specific to ILLiad or a more general discussion about resource sharing. Most importantly they should be engaging and informative.

What's in it for you (besides knowing you’re giving back to the ILLiad community)? If your presentation proposal is accepted, we will waive your conference registration fee (sorry, not the pre-conference fee). In these days of tight budgets, this could save your institution $185. Poster Session participants will receive a thank you gift.

We've made it easy to submit your presentation proposal online. To get the wheels turning, check out the program lineups from 2010 and 2011—they will give you an idea of the type of programs that have been presented in the past.

Odyssey Client Version 3 available for download (for FREE!)

The Odyssey Client version 3 is available for download from the Atlas Systems web site. This is the FREE stand-alone client that allows non-ILLiad libraries to send and receive Odyssey documents with each other and ILLiad libraries.

This version is a complete re-write of the client and includes support for sending PDF files (to sites that are able to receive them). If you are already using a previous version of Odyssey, you can install this version and run the address book import tool to keep all your receiving library records.

You will not be prompted to update to this version if you are using the older versions, so be sure to download this new setup file.

Remember that this free software does not come with a support package, but does have all new documentation available at: https://prometheus.atlas-sys.com/display/odyssey/, as well as a participant listserv at: http://iris.atlas-sys.com/mailman/listinfo/odyssey-l .

You can also test that your client is set up correctly by using our Odyssey Test Interface here: http://www.atlas-sys.com/products/odyssey/test/.

E-books from Ingram's MyiLibrary available for short-term access through WorldCat Resource Sharing

OCLC and Ingram Content Group have launched a new e-book service option that provides libraries and their patrons short-term access to e-book content that is not in a library's collection through WorldCat Resource Sharing.

The new e-book service option increases the amount of content available through WorldCat Resource Sharing. Through the collaboration, e-books from Ingram's MyiLibrary® e-book collection will be available to participating libraries and their patrons for a nine day period. The option will be available in ILLiad within the next several months. E-book loans are fee-based, set at an average of 15 percent of the MyiLibrary price set by the publisher for access to the e-book. The fee is managed through the WorldCat Resource Sharing interlibrary loan fee management (IFM) feature that supports payment of resource-sharing services through the library's OCLC invoice.

The addition of Ingram's MyiLibrary content provides access to more than 50,000 e-book titles and is growing daily. Content from the world's leading publishers, such as Taylor and Francis and Wiley are currently available through the new short-term access option. Records for all titles have been added to WorldCat under the symbol IDILL, so users will find these titles when they search the WorldCat database via WorldCat.org, WorldCat Local, WorldCat Local "quick start" and FirstSearch. Interlibrary loan staff can then facilitate access to the available titles by requesting them from IDILL. View the list of available e-book titles.

To support the new and growing e-book access program, Ingram will send "Conditional" messages to request that borrowing library staff take an action such as enabling IFM or adjusting their Maxcost setting to accommodate the cost of an e-book loan. Ingram will place the link to the e-book in the new field "Alert" to notify the borrower immediately that the request has been filled and to alert the library that they will have nine days from the date the e-book is "shipped" to use the link before it expires.

This short-term access option delivers e-books to users quickly, so they can begin to use requested titles right away. Once a request is updated to "shipped" status, it is immediately available for use with no delays for shipping, or the time required to pick up a requested print title. This supports the way many users make use of e-books to obtain specific parts of information for research. For example, often a chapter or section of an e-book is all they need to use. The MyiLibrary interface allows users to search the full text of titles to quickly identify the sections they need.
