Article Exchange integrated into the WorldCat Resource Sharing service

DUBLIN, Ohio, USA,17 January 2012 – Following a successful five-month trial, the Article Exchange feature is now available within the WorldCat Resource Sharing service and, where available, through an ILLiad add-on. This new feature is available at no charge to OCLC libraries that use WorldCat Resource Sharing and ILLiad Resource Sharing Management Software, and will be offered in WorldCat Navigator, in regions where available, and VDX later this year.

Article Exchange provides a single, secure location where lending libraries can place and borrowing libraries and their users can retrieve requested articles obtained through interlibrary loan. Lending libraries scan documents and upload them to the site and notify the borrowing libraries of the documents’ availability. The site generates a unique URL and password for each document. An e-mail button enables the lender to insert the borrower’s e-mail address and send the link directly to the library.

Once a file has been retrieved, it remains available for five days or five views. After 30 days, unviewed files will be removed. A file can be picked up a maximum of five times for each URL/password combination. Access to the current experimental site will end on January 31.

"I supply articles to on-campus students, faculty, staff and a large number of distance education students and faculty across the country," said Janice Murphy, Interlibrary Loan Coordinator, St. Joseph’s College of Maine. "Article Exchange saves us a lot of time and money. For all of these reasons—file size, firewalls or full mailboxes—we wanted to shift away from e-mailing PDFs. Posting to Article Exchange on the Web eliminates some of the problems we encountered in the past."

"I appreciate how delivery and storage satisfies vendors' copyright restrictions and how Article Exchange is able to accommodate various file sizes," said Robyn Clark-Bridges, Evening Supervisor & Interlibrary Loan Associate, Mount Mercy University. “I also appreciate how easy it is to use!"

"Article Exchange is a drop box for resource sharing people," said Katie Birch, Portfolio Director, OCLC Delivery Services. "It is document delivery in the cloud, and it supports our Webscale strategy of delivering efficiencies that provide new ways to share resources and innovation."

An OCLC Resource Sharing and ILLiad Users Group Meeting will be held on Sunday, January 22 from 4:00 to 5:30 p.m. at the Dallas Convention Center, Room D227, during the ALA Midwinter Meeting. To register for this event or other OCLC events in Dallas, visit the OCLC website.

For those unable to attend the ALA Midwinter Meeting, OCLC will hold an OCLC Resource Sharing and ILLiad Users Group Virtual Meeting on January 26, from 1:30 to 3:00 p.m., Eastern Time. Register for this event through the OCLC website.

About OCLC
Founded in 1967, OCLC is a nonprofit, membership, computer library service and research organization dedicated to the public purposes of furthering access to the world’s information and reducing library costs.
November 2011 WorldCat Resource Sharing enhancements

On November 13, OCLC released a number of enhancements to the WorldCat Resource Sharing service. Enhancements include the ability to update a request to LOST, hotlinked URLs in the ALERT field and more, to provide you with additional control, and help speed placement and fulfillment of requests.

The following new features are now included in OCLC Resource Sharing subscriptions at no additional charge to subscribers:

Ability to update a request to LOST
WorldCat Resource Sharing now supports the ability for the borrowing library to update request to a status of LOST when the library has confirmed that a borrowed item has been lost.

URLs in ALERT field are now "HOT"
The ALERT field in the WorldCat Resource Sharing ILL workform now supports hot linking. If a valid URL is placed in the ALERT field by a lender, the borrowing library will be able to click the link to invoke the URL. In the past, the borrowing library had to cut and paste the URL into a web browser. The hot linking functionality supports the newly introduced e-book delivery service from Ingram Digital. When a library requests an e-book from Ingram Digital via the IDILL symbol, Ingram will place the URL to the e-book in the ALERT field. With this enhancement, libraries can now click on the URL directly from within the WorldCat Resource Sharing workform and go to the landing page for the e-book.

Deflection by LHR (local holdings records) will be displayed when a request is deflected based on the byte set in the LHR
When a lender has set deflection of a particular item using the holding byte in the LHR (local holdings record) on the bibliographic record, WorldCat Resource Sharing will display the deflection rule as "AUTO-DEFLECTION: LHR". This will also appear in the OCLC Usage Statistics Reasons for No reports.

Article Field separated into Article Author and Article Title
To support the upcoming migration to the future delivery service, WorldCat Resource Sharing will modify the ILL workform to more closely match the new workform that will be available in the future delivery service. The current Article field that contains both the article author and article title will be broken into two distinct fields, Article Author and Article Title.

Improved ILL statistics and assessment tools
A new assessment tool titled "The Journal Titles Borrowed Report" will provide WorldCat Resource Sharing subscribers with up to 12 month’s of data that counts the total number of journals the library requested. Included in the report are the number of journal titles requested and the number filled. In addition to the journal title, the report also includes the OCLC record number and ISSN.

Enhancements to statistics include:

Turnaround time format updated from days to days/hours/minutes/seconds

Additional statistics for the OCLC ILL Direct Request Service

Additional statistics for WorldCat knowledge base subscribers

For resource sharing subscribers with their holdings in WorldCat knowledge base:

Support for Direct Request for E-book Chapters.
Libraries that have their holdings information in the WorldCat knowledge base will now be able to create a Direct Request profile that supports the ability to handle e-book chapter requests by allowing a search for e-books requested as a copy or non-returnable

Ability to supply lender with ILL license rights to lend for all electronic content
WorldCat Resource Sharing will now display to the lender, explicit statements that will tell the lender that they may not lend e-content based on their license contract for that journal title.

Article Exchange will soon be released as a service option within WorldCat Resource Sharing, ILLiad and VDX/Navigator. Once the functionality becomes available, to upload a file to Article Exchange the library must be a WorldCat Resource Sharing subscriber with a valid OCLC Authorization. For more information, visit Article Exchange on the web.

E-books from Ingram's MyiLibrary available for short-term access through WorldCat Resource Sharing

OCLC and Ingram Content Group have launched a new e-book service option that provides libraries and their patrons short-term access to e-book content that is not in a library's collection through WorldCat Resource Sharing.

The new e-book service option increases the amount of content available through WorldCat Resource Sharing. Through the collaboration, e-books from Ingram's MyiLibrary® e-book collection will be available to participating libraries and their patrons for a nine day period. The option will be available in ILLiad within the next several months. E-book loans are fee-based, set at an average of 15 percent of the MyiLibrary price set by the publisher for access to the e-book. The fee is managed through the WorldCat Resource Sharing interlibrary loan fee management (IFM) feature that supports payment of resource-sharing services through the library's OCLC invoice.

The addition of Ingram's MyiLibrary content provides access to more than 50,000 e-book titles and is growing daily. Content from the world's leading publishers, such as Taylor and Francis and Wiley are currently available through the new short-term access option. Records for all titles have been added to WorldCat under the symbol IDILL, so users will find these titles when they search the WorldCat database via WorldCat.org, WorldCat Local, WorldCat Local "quick start" and FirstSearch. Interlibrary loan staff can then facilitate access to the available titles by requesting them from IDILL. View the list of available e-book titles.

To support the new and growing e-book access program, Ingram will send "Conditional" messages to request that borrowing library staff take an action such as enabling IFM or adjusting their Maxcost setting to accommodate the cost of an e-book loan. Ingram will place the link to the e-book in the new field "Alert" to notify the borrower immediately that the request has been filled and to alert the library that they will have nine days from the date the e-book is "shipped" to use the link before it expires.

This short-term access option delivers e-books to users quickly, so they can begin to use requested titles right away. Once a request is updated to "shipped" status, it is immediately available for use with no delays for shipping, or the time required to pick up a requested print title. This supports the way many users make use of e-books to obtain specific parts of information for research. For example, often a chapter or section of an e-book is all they need to use. The MyiLibrary interface allows users to search the full text of titles to quickly identify the sections they need.

DUBLIN, Ohio, USA,24 August 2011 – Atlas Systems, the leading provider of time-saving solutions for libraries, has announced that OCLC will extend its suite of resource sharing services with Odyssey™ 3.0, the new version of Atlas’ free stand-alone electronic delivery software. Odyssey complements the OCLC ILLiad™ Resource Sharing Management Software that was developed by Atlas Systems and is now distributed by OCLC.

The stand-alone version of Odyssey allows sites to send and receive electronic documents to and from other Odyssey sites, OCLC ILLiad sites, and any other supplier’s software that supports the Odyssey protocol. "Odyssey 3.0 features the ability to send and receive PDF files and allows for users of the stand-alone module to be ‘trusted senders’ with ILLiad partners, resulting in even faster delivery times," says Genie Powell, Chief Customer Officer at Atlas Systems. "In addition, we’ve made it easier to set up and administer Odyssey, making the free software even more attractive."

"The Odyssey stand-alone represents an outstanding opportunity for OCLC members to expand their resource sharing using a free application," says Katie Birch, Director, OCLC Delivery Services. "The partnership between OCLC and Atlas Systems continues to provide industry-leading software opportunities to the resource sharing community."

New document-sharing site for resource sharing

OCLC has developed a document-sharing site that provides a single, secure location where lending libraries can place requested PDF and TIFF articles and library users can retrieve articles or book chapters obtained for them via interlibrary loan.

Use of the site integrates easily with interlibrary workflows of libraries that use WorldCat Resource Sharing, ILLiad, WorldCat Navigator, VDX or other resource sharing services. This site adds convenience, security and enhanced copyright compliance to article sharing through interlibrary loan.

Benefits of this site include:

Eliminates file size and security issues often encountered when documents are transmitted through email. PDF and TIFF files of any size – including high resolution PDF documents – can be placed on the site for pick-up by library users.

Automatic deletion of files supports compliance with copyright guidelines. Viewed files are deleted after 3 views or within 5 days of being accessed and unviewed files are deleted after 30 days.

Minimal local technical support is required because the Web site requires no software download or special arrangements for access through a local firewall.

The platform-independent site can be accessed from PCs, MACs or any operating system.

Once a file has been retrieved, it remains available for 5 days. After 5 days, the file will be removed. A file can be picked up a maximum of five times for each URL/password combination. Files not retrieved remain available for 30 days.

New reports for resource sharing management

Several new resource sharing reports are now available to help you manage your interlibrary loan operations. In addition, the reciprocity report released in February 2011 has been enhanced to include more information.

The new and enhanced reports are:

GIS reports. Global Information System reports for borrows and loans provides a geographic-based view of all OCLC member libraries that lend or borrow on OCLC. The GIS data allows you to link to other OCLC Resource Sharing data to create reports from a global to a local view.

If you export the data, you will receive an Excel spreadsheet that provides a list of those libraries with their longitudes and latitudes. You could combine the spreadsheet with other data to generate other GIS reports.

Data in this report is obtained by geo-location codes found in the WorldCat Registry. If your library is not included in the report, you may add your library's longitude and latitude to your WorldCat Registry profile. To update your data:

Log in to OCLC Service Configuration

Select your institution from the drop-down list

Click on WorldCat Registry in the menu on the left side of the screen

Correct or set geo-location by clicking on a map that lists latitude and longitude.

Once updated, your library will appear in the next month's update of the GIS report.

Reasons for No report. The Reasons for No Report now contains the imprint date of the material. Your library can use this data to determine whether the age of the requested material falls into any pattern that may allow for further refinement of deflection rules.

Reciprocity report. Under the Assessment Tools tab, the Reciprocity Report now provides the state location of the libraries listed. If you need to evaluate your reciprocal arrangements by state, the new State table will allow you to do this.

Lender String report. This is a new report under the Assessment Tools tab. The Lender String report provides up to 12 months of data about the number of times any library said 'Yes' or 'No' to your requests as a borrower. It breaks down the data by Copy/Loan, provides the average response time it took the lender to respond, and provides percentages of filled and unfilled requests. The report also allows you to key in a value for percentage filled that will assist you in evaluating a lender's fill rate.

You may access these reports on the OCLC Usage Statistics site at www.stats.oclc.org/.

May WorldCat Resource Sharing enhancements

On May15, OCLC added several enhancements to the WorldCat Resource Sharing service. Enhancements include splitting the PENDING and IN PROCESS categories by Copy or Loan designation, a new ALERT field and category and an easier way to email ILL requests to non-WorldCat Resource Sharing libraries.

The following new features are now included in OCLC Resource Sharing subscriptions at no additional charge to subscribers:

ALERT field and category

A new ALERT field is now included in the interlibrary loan lender form and an ALERT category is included in the WorldCat Resource Sharing Request Manager. A lending library can use the new field to “alert” a borrowing library to issues with a request, such as incomplete or incorrect information in a citation.

When short-term access to MyiLibrary e-books is released, the ALERT field will include the link to a requested e-book on the MyiLibrary website.

Alert category

Alert field

PENDING and IN PROCESS categories split to Copy or Loan designation

Lending libraries can now more easily manage their workflows by the format of requested items. The WorldCat Resource Sharing Request Manager groups incoming requests into two categories:

Copy: For article requests

Loan: For book-based requests

The Copy or Loan designation will remain with requests when they are updated to the IN PROCESS status.

Email an ILL request to non-WorldCat Resource Sharing libraries

A new feature helps you place requests for hard-to-find items owned only by libraries that are not suppliers through the WorldCat Resource Sharing service. When you know a nonsupplier will accept an e-mail request, you can now send an e-mail request that contains full bibliographic information from within WorldCat Resource Sharing. Your staff enters the e-mail address of the potential lender and your library's interlibrary loan e-mail address.

Coming soon: Short-term access to MyiLibrary e-books

The short-term access to e-books from Ingram's MyiLibrary e-books through WorldCat Resource Sharing and ILLiad announced in April will be released soon. When available, the new service option will expand access to library content already available through OCLC's resource sharing services to include access to e-books from Ingram's MyiLibrary e-book collection for a period of up to nine days. E-book loans will be fee-based, set at 15 percent of the MyiLibrary price for access to each e-book. The fee will be managed through the WorldCat Resource Sharing interlibrary Fee Management feature that supports payment of resource sharing fees through the library's OCLC invoice.

OCLC and Ingram to offer new option for access to e-books

DUBLIN, Ohio, USA,11 April 2011 – OCLC and Ingram Content Group Inc. will soon offer a new service option that will provide library users short-term access to e-books not in their collection through WorldCat Resource Sharing and ILLiad.

The new service option, to launch in the coming months, expands access to library content available through WorldCat Resource Sharing to include access to e-books from Ingram’s MyiLibrary e-book collection for a period of up to nine days. E-book loans are fee-based, set at 15 percent of the MyiLibrary price for access to the e-book. The fee is managed through the WorldCat Resource Sharing interlibrary loan Fee Management feature, a service that supports payment of resource-sharing services through the library’s OCLC invoice.

"As technology continues to change the way people access information, forward-thinking libraries are turning to innovative collection development and content delivery solutions to fulfill the needs of their patrons," said Rich Rosy, Vice President and General Manager, Ingram Library Services. "Ingram is pleased to be collaborating with OCLC—together we are creating market relevant solutions to deliver more content to more patrons efficiently and cost-effectively."

Using WorldCat discovery services, library users can find what they need and staff can request access to available e-books in Ingram's MyiLibrary. OCLC is working with Ingram (holding symbol IDILL) to identify and attach holdings to the MyiLibrary e-books available to users.

To support this e-book access program, OCLC is adding a new "Alert" category in the request manager in WorldCat Resource Sharing and ILLiad to inform borrowing library staff that the record requires immediate action. The library user will have nine days from the date the e-book is shipped to use the link before it expires.

"This new option for short-term access to e-books offered through Ingram's MyiLibrary is a significant step forward in the evolution of e-books in libraries," said Chip Nilges, OCLC Vice President, Business Development. "As e-books become more popular with readers, OCLC will continue to explore new ways to expand access to this library content with a variety of content providers."

This short-term access option delivers e-books to users quickly, so they can begin to use requested titles right away. Once a request is updated to “shipped” status, it is immediately available for use with no delays for shipping or the time required to pick up a requested print title. In addition, many users access e-books to obtain specific parts of information for research. For example, often a chapter or section of an e-book is all they need to use. The MyiLibrary interface lets users search full text of titles to quickly identify the sections they need.

Direct Request for e-books in WorldCat Resource Sharing

WorldCat Resource Sharing now includes Direct Request processing for e-books. This enhancement, based on data in the WorldCat knowledge base, allows you to set up a Direct Request profile for open access e-content and subscription-based e-content for books.

When you create an “e-text” profile, the service routes requests back to your library for material you own or for freely-available materials such as open-access books and journals. When a user submits a book request for an item in the Worldcat knowledge base, the request is routed back to your staff with a link to the item.

Like the recently-announced article-sharing enhancement, Direct Request for e-books uses data in the WorldCat knowledge base to put documents into the hands of library users in record time. These enhancements also save time for library staff by automating processes you may now manage manually.

WorldCat knowledge base registration

Your first step toward using resource sharing enhancements based on data in the WorldCat knowledge base is to register for use of the knowledge base. This new functionality is included as part of your existing subscription to WorldCat Resource Sharing or ILLiad at no additional charge. Register ››
