Information about upcoming billing enhancements

Over the summer OCLC made considerable upgrades to our billing procedures that will enable you to better manage your OCLC accounts. These include enhancements to the current OCLC invoice process and the ability to view billing information online. These enhancements are a continuation of the changes first announced in February when we implemented more detailed descriptions for the open items on your statements.

Account and billing information and usage statistics will be available online via the OCLC Online Service Center (OSC). 

Online access will allow you to: 

  • View invoices, statements and account balance (s)
  • Print copies of statements and invoices
  • View rolling 18 months of account history
  • Receive e-mail alerts when information changes

Sign up for an OSC account.

In order to view billing information online you will need to have an OSC account, user name and password.

Or, if you have an institution account but need a reminder of your user name and password, contact your Regional Service Provider.

Frequently asked questions

What is changing?

OCLC has made several improvements to the monthly billing processes to enable you to better manage your OCLC accounts.  Specific enhancements include:

  • Redesigned invoices that include detailed billing information and are easier to read and understand
  • Clearer product code descriptions including more specific detail on your FirstSearch purchases
  • Online access to PDF copies of invoices and statements
  • Online access to account and payment information including subscription deposit account balances
  • Replacement of the paper Sales Institution Detail Report with online access to usage statistics

When will these changes occur?

The enhancements will begin when you receive your August 2008 invoicing (in early September).

Is there anything I need to do to prepare for these enhancements?

Online access to billing information is available through the OCLC Online Service Center. In order to get the most of your online billing information, view usage statistics or print copies of your invoices and statements, it is necessary to create an Online Service Center Account.

You will continue to receive printed invoices and statements at the same frequency you do today.  However, the usage statistics currently available via the Sales Institution Detail Report will only be available online, so you will need an Online Service Center account, user name and password.

What information is available online?

The following information and actions are available:

  • View invoices, statements and account balance(s)
  • Print copies of statements and invoices
  • View a rolling 18 months account history
  • Receive e-mail alerts when information changes

What makes the invoices and statements easier to read?

The new invoices and statements have longer and clearer product descriptions that provide more information.

I have Contract Services invoices and statements, what changes for me?

Your institution’s OCLC account number will be changing. You will receive your new account number with the September billing packet in early October 2008. The account number you are accustomed to seeing, (e.g. 01OCLC00002007 RC02), will now be a 3-5 digit numeric value (e.g. 256). This change will only affect direct billed members who currently have the suffix RCXX at the end of their account number. 

All customers who currently have deposit accounts with OCLC will still have those same accounts. The information will simply be migrated to the institution’s new account number during the conversion.  You will not need to take any action to make this happen.  If you happen to forget your new account number at any point, please contact your accounts receivable coordinator.
