account type

FirstSearch has three account types: block, subscription, and hybrid.

Also, each FirstSearch account is either an individual account or part of a consortium account.

In addition, the ECO account type is used in the Authorization box to identify authorizations that can be selected to view reports of Electronic Collections Online (ECO) full text used.

Data for block accounts is provided in the following reports: Overview, Searches Used, and Full Text Used. A set of these reports is provided for each applicable report level.

Data for subscription or hybrid accounts is provided in the following reports: Overview, Searches Used, Simultaneous Usage, and Full Text Used. A set of these reports is provided for each applicable report level.

Data for ECO accounts is provided in the following reports: Overview of ECO Full Text Used and Journal Details of ECO Full Text Used. [Top]

The box that lets you select an authorization so you can view reports related to the authorization. Each FirstSearch or Electronic Collections Online (ECO) authorization associated with your institution is included in the box's drop-down list.

In the box, the following information is included for each authorization: authorization, account type, and consortium name. If the consortium name is None, the authorization is for an individual account. If the account type is ECO, the FirstSearch authorization used to view ECO journal articles is also included.

After you select an authorization in this box, the authorization selected is included at the top of report selection screens.

If you need to change the selection made in this box, use your browser's Back button to return to the screen containing the box and make another selection.

ECO reports. To view reports of ECO full text used, select an authorization that has the ECO account type. If two or more authorizations with the ECO account type are listed in the box, choose the authorization that includes the FirstSearch authorization you use to view ECO journal articles.

FirstSearch reports. To view reports of FirstSearch activity (other than ECO full text used), select an authorization that does not have the ECO account type. If your institution has two or more FirstSearch authorizations, select the authorization for which you want to see Authorization level reports. Any of your FirstSearch authorizations will give you access to your Institution, Subgroup and Consortia level reports. [Top]

Authorization field

The field that contains the authorization number covered by a report.

It is included in any report at the authorization report level. [Top]

authorization level (Auth Lvl)

The report level that provides data about a single authorization's FirstSearch activity.

Auth Lvl appears in the report title of authorization level reports.

Authorization level reports are provided (in addition to institution level reports) when an institution has two or more authorizations (accounts) that had activity during the reporting period.

If any institution has only one authorization that had activity, only an institution level report, not an authorization level report, is provided. [Top]

Authorizations field

The field that contains the number of authorizations that had activity during the reporting period for the report level covered by the report.

It is included in Overview reports. [Top]

Avg Ports field

The field that contains the average number of simultaneous users logged on to FirstSearch or a particular database during the reporting period for the report level covered by the report.

It is included in Overview and Simultaneous Usage reports for the subscription or hybrid account type.

Calculation: After each logon, FirstSearch records the number of users currently logged on with the authorization. Each month FirstSearch totals those numbers and divides by the total number of sessions. The data is collected for individual authorizations and consortiums. For institutions with two or more authorizations, data for individual authorizations is combined for reports at the institution report level. [Top]

Billing Method field

The field that contains the method used to purchase access to a particular database: Subscription, Block, or Trial Access.

block account type

An account type that provides access to databases through pre-purchased blocks of searches. Block accounts are also called per-search accounts. [Top]

Block Citation Searches

Number of searches performed in FirstSearch using databases that the authorization has block access to (see also block account type). [Top]

Block Documents Viewed

Number of Documents Viewed from fulltext databases purchased via the per search billing method. [Top]

Consortium field

The field that contains the name of a FirstSearch consortium.

It is included in every report and report level that contains data about a consortium's activity. [Top]

Consortium ID field

The field that contains a four letter code assigned by OCLC to identify a FirstSearch consortium.

It is included in every report and report level that contains data about a consortium's activity. [Top]

consortium level (Cons Lvl)

The report level that provides data about a consortium's FirstSearch activity, combining the data of activity by individual libraries.

Cons Lvl appears in the report title of consortium level reports.

Additional reports are provided to break down consortium data by library type. [Top]

Documents Viewed field [Top]

Database field

The field that contains the name of each database available to the account during the reporting period for the report level covered by the report.

It is included in Searches Used and Simultaneous Usage reports. See also Full Text Database field. [Top]

Documents Viewed field

The field that contains the number of full text documents displayed or sent by email during the reporting period for the report level covered by the report.

It is included in Overview and Full Text Used reports.

Each document viewed is counted as five searches for block accounts. The total number of searches used in block accounts for full text and searching is reported on the Overview report in the row labeled Total Block Searches Used.

Note: Documents Viewed was previously identified as Documents Ordered on reports prior to August 2004. [Top]

Full Text Database field

The field that contains the name of each full-text database from which full text was displayed or sent by e-mail during the reporting period for the report level covered by the report.

The field that contains the number of Electronic Collections Online (ECO) full-text articles displayed from within the Electronic Collections Online database during the reporting period for the report level covered by the report.

The field that contains the number of Electronic Collections Online (ECO) full-text articles displayed from links to Electronic Collections Online articles within another FirstSearch database during the reporting period for the report level covered by the report.

Full Text Used report

A report that provides the number of Full Text Documents Viewed in each database by pricing method for the report level covered by the report.

It includes the following fields: Full Text Database, Total Documents Viewed, Subscription Documents Viewed, and Block Documents Viewed. It also includes some of the following fields, depending on the report level: Consortium, Consortium ID, Institution, Symbol, Authorization, or Subgroup.

History field

The area of a report that includes multiple fields containing data for the months prior to the reporting period. You may select the number of months of history to display on the report selection screens. The default is to display six months of history.

An account type that provides access to some databases through a subscription and to other databases through pre-purchased blocks of searches. [Top]

The field that contains the name of an institution that uses FirstSearch.

The report level that provides data about an institution's FirstSearch activity.

Inst Lvl appears in the report title of institution level reports.

If an institution has two or more authorizations that had activity, authorization level reports are also provided for each authorization with activity during the reporting period. [Top]

A report for consortium coordinators and for subgroup members. The report provides information about Electronic Collections Online (ECO) full text used through the consortium or subgroup by each consortium or subgroup member that had activity during the reporting period.

It includes the following fields: Institution, Symbol, Total Full Text Displays, Total Abstract Displays, Full Text By Purchase Method Subsc, Full Text By Purchase Method Per Article, Full Text Displays From ECO DB, Full Text Displays From Other DBs, and Full Text Displays From Other Services. It also includes some of the following fields, depending on the report level: Consortium and Consortium ID or Subgroup.

Institution Summary report

A report for consortium coordinators of a block account and for subgroup members. The report provides information about searches and documents viewed through the consortium or subgroup by each consortium or subgroup member that had activity during the reporting period.

It includes the following fields: Institution, Symbol, Searches, % Searches, Documents Viewed, and Total. It also includes some of the following fields, depending on the report level: Consortium and Consortium ID or Subgroup.

The field that contains the International Standard Serial Number of each Electronic Collections Online (ECO) journal.

It is included in Journal Details of ECO Full Text Used reports. [Top]

A report that provides information for each Electronic Collections Online (ECO) journal about the ECO full text used during the reporting period for the report level covered by the report.

Port Limit field

The field that contains the maximum number of simultaneous users permitted to be logged on to FirstSearch during the reporting period for the report level covered by the report.

It is included in Overview reports.

The Port Limit is "Unlimited" if an authorization or consortium has unlimited access. For the institution report level, Port Limit is calculated by totaling the Port Limit values for the authorizations assigned to the institution. [Top]

Reporting Period

The month and year selected for report viewing. Included in the report header of all reports.

New reports of Electronic Collections Online (ECO) full text used are usually available by the third day of each month. Other new FirstSearch usage statistics reports are usually available by the tenth day. [Top]

% Searches field

The field that contains the percentage of the total number of searches that were performed in a particular database during the reporting period for the report level covered by the report.

It is included in Searches Used and Simultaneous Usage reports. [Top]

Searches Used report

A report that provides information about the searches performed in each database for the report level covered by the report.

It includes the following fields: Database, Billing Method, Searches, % Searches, Search History, and Total. It also includes some of the following fields, depending on the report level: Consortium, Consortium ID, Institution, Symbol, Authorization, or Subgroup.

The report title indicates the report level covered by a report. [Top]

Session Turnaways field

The field that contains the number of times that attempts to log on to FirstSearch were not successful because the Port Limit had already been reached, during the reporting period for the report level covered by the report.

It is included in Overview reports. See also Turnaways. [Top]

% Session Turnaways field

The field that contains the percentage of the total attempts to log on to FirstSearch that were not successful because the Port Limit had already been reached, during the reporting period for the report level covered by the report.

It is included in Overview reports. See also % Turnaways.

Sessions field

The field that contains the number of successful logons to FirstSearch during the reporting period for the report level covered by the report.

It is included in Overview reports. [Top]

Simultaneous Usage report

A report that provides simultaneous user information and search information by database for the report level covered by the report for the subscription databases.

It includes the following fields: Database, Logons, Searches, % Searches, User Limit, Avg Ports, Max Ports, Turnaways, % Turnaways, and Total. It also includes some of the following fields, depending on the report level: Consortium, Consortium ID, Institution, Symbol, Authorization, or Subgroup.

The report title indicates the report level covered by a report. [Top]

The box that lets you select a subgroup so you can then select, in the Subgroup Report box, a subgroup level report for viewing.

Subgroup field

The field that contains the name of a special grouping of authorizations defined for reporting purposes. The authorizations may or may not be included in a consortium.

It is included in all reports at the subgroup report level. [Top]

subgroup level (Subg Lvl)

The report level that provides data about a subgroup's FirstSearch activity, combining the data for activity by the authorizations in the subgroup. A subgroup is a special grouping of authorizations defined for reporting purposes. The authorizations may or may not be included in a consortium.

Subg Lvl appears in the report title of subgroup level reports.

Additional reports are provided to break down subgroup data by library type. [Top]

The box that lets you select a subgroup level report for viewing, if any are available for the Authorization, Reporting Period, and Subgroup.

The Subgroup Report box appears after you select a subgroup in the Subgroup box.

subscription account type

An account type that provides access to databases through a fee paid for all searching of selected databases for a designated period of time. Many subscription accounts also have a specified number of users who can use the account simultaneously.

The following reports are provided for subscription accounts: Overview, Searches Used, Simultaneous Usage, and Full Text Used. A set of reports is provided for each applicable report level.

Subscription Citation Searches

Number of searches performed in FirstSearch using databases for which the authorization has subscription access. See also subscription account type. [Top]

Subscription Documents Viewed

The field that contains the number of documents that were viewed from databases accessed via the subscription billing method. [Top]

Symbol field

The field that contains the OCLC symbol of an institution that uses FirstSearch.

It is included in every report at the institution and authorization report levels that contains data about the institution's activity. [Top]

Total Block Searches used

Block searches used for search activity as well as full text activity in block databases. The value equals Block Citation Searches + (Block Documents Viewed times 5). [Top]

Total Citation Searches

The number of Citation Searches used by the account for the reporting period. Equals Block Citation Searches plus Subscription Citation Searches. [Top]

Total Documents Viewed

Number of Full text Documents Viewed from a specific FirstSearch database. Equals Subscription Documents Viewed + Monthly Documents Viewed + Block Documents Viewed. [Top]

Total field

The field that contains the combined data of a column of report data.

It is included in the Full Text Used, Searches Used, and Simultaneous Usage reports. [Top]

The field that contains the number of Electronic Collections Online (ECO) full-text articles displayed during the reporting period for the report level covered by the report.

trial account type

A special subscription account type sometimes provided at no fee for a limited period of time to libraries or groups of libraries deciding whether to order FirstSearch.

Turnaways field

The field that contains the number of times that attempts to log on to a particular database were not successful because the User Limit had already been reached, during the reporting period for the report level covered by the report.

% Turnaways field

The field that contains the percentage of the total attempts to log on to a particular database that were not successful because the User Limit had already been reached, during the reporting period for the report level covered by the report.
