All changes will be available in late May 2007, with one exception: the ability to work with institution records will be available in Connexion client 2.0 in late June 2007. OCLC will announce via logon Messages of the Day, Connexion News, and the OCLC-CAT listserv.

Data conversion

OCLC will convert obsolete data to its appropriate new format to the extent that is safely possible. Conversion details are noted in each field, if appropriate.

1 RLG Changes

Background

To accommodate RLG practices, OCLC is making changes to its MARC bibliographic format coding and practice. These changes make possible the integration of RLG Union Catalog bibliographic records into WorldCat at both the master record level and at the institution record level.

Institution records (IRs) result from incorporating bibliographic "cluster" records from the RLG Union Catalog into WorldCat.

Differences between RLG records and WorldCat records

WorldCat stores a single master bibliographic record for a library item. OCLC cataloging members can modify the record with local information for use in their own library catalogs without changing the master record.

The RLG Union Catalog stores every bibliographic record for the same item in a "cluster."

One record in a cluster is designated a "primary cluster member" (PCM) because it represents a "best" record, based on characteristics such as cataloging source, level or fullness of cataloging, and presence of non-Latin scripts.

All other records in the cluster are designated "secondary cluster members" (SCM).

Process used to add RLG cluster records to WorldCat

Primary cluster records are compared to WorldCat master records. If a match is found, the PCM record is merged into the WorldCat master record.

If no match is found, a WorldCat master record is created based on data in the PCM.

If no match is found for a single cluster record (PCM by default), and the contributing institution wants IRs, a new master record is created based on the PCM, and the PCM is attached and retained as an institution record.

All members of a cluster, PCM and SCMs, are added to WorldCat as institution records and are attached to the master record if institution records were requested by the record creators.

Identifying numbers

Like bibliographic master records, bibliographic institution records are assigned unique OCLC control numbers in WorldCat. A new index (ir:) is available to search specifically for IR OCLC numbers.

The master record to which institution records correspond is identified in the IR by the master record OCLC number, which the system supplies in field 079 ‡a.

Purpose of institution records

Institution records contain additional cataloging data, including all local data, such as local call numbers, holdings locations within the institution, or local or copy-specific notes.

Who can use institution records?

If your OCLC cataloging profile (determined by your logon authorization) includes institution records, you can create, add, delete, move and take other actions on your own institution records. Otherwise, you have read-only access to the institution records of other libraries.

All OCLC member catalogers have read-only access to all institution records. With read-only access, you can retrieve, copy and paste, export, or print institution records. You can also derive bibliographic master records or bibliographic constant data records from IRs.

The ability to work with institution records will be available in Connexion browser in late May 2007 and in Connexion client 2.0 in late June 2007.

All RLG migrating libraries are authorized to create and maintain institution records. Existing OCLC cataloging members can order institution record creation and maintenance on July 1, 2007.
