Customizable E-mail

Send one of these four HTML e-mails to patrons who have agreed to receive announcements from your library. Note that you must have mail software that accepts and is able to send HTML content.

Instructions

  1. Copy the HTML template for one of the e-mails above and paste it into a simple text editor (such as Windows Notepad) or a more advanced Web authoring program (such as Dreamweaver or GoLive).
  2. Save the document to a preferred location on your desktop with the file name convention xxxxxx.htm or xxxxxx.html.
  3. Modify the HTML code to include your library's branding in the space provided. Depending on your mail management program or system, you may have to publish any branding images to your Web site, instead of pasting them directly into the template. If so, insert into the template an "absolute" URL that contains http: and the full path to the image on your server, such as:
    http://www.ourlibrary.org/images/brandbanner.gif

    (Each mail template contains a similar URL that imports an image from OCLC's servers.)
  4. Insert the correct link to your library's Web site into the code for the "Visit our Web site" link.
  5. Insert the correct phone number for your library's help line in the "Need some help?" box
  6. FOR EBOOK TEMPLATES ONLY: Delete the sentence "Or download and transfer it to a Palm OS or Pocket PC handheld device" if your library does not have the Adobe Content Server (ACS) Gateway License that permits offline reading of eBooks.
  7. You're done editing content! If such an option exists, import the finalized HTML into your mail software. Skip to step 10.
  8. If you cannot import, or are using Microsoft Outlook or another basic mail client, open a blank e-mail and configure it for HTML content, if necessary. (In Outlook, use Actions > New Mail Message Using > HTML.)
  9. Open a blank browser window, and either drag and drop the finalized HTML document into it, or use File > Open to locate it on your desktop. If the mail is displaying correctly, copy the entire contents of the browser window using Edit > Select All and Edit > Copy. Paste the contents into your blank e-mail message.
  10. Send e-mail to your patron mailing list using your e-mail marketing system or software. (You may wish to perform a test mailing to your own address first.)
