General questions
- What file formats does the Archive accept?
The OCLC Digital Archive is currently open to accepting most formats for bit preservation. Objects in the archive are viewable only to the extent that a browser can display them. Local rendering software may be needed to view some formats. If you have questions about a whether a format is accepted, contact your regional service provider.
- How do WorldCat and Digital Archive records differ?
The WorldCat record is called cataloging or discovery metadata because it helps users find content they need. The Digital Archive record is primarily preservation metadata, a term used broadly to refer to metadata that the Digital Archive uses to ensure the security and preservation of the object.
The Digital Archive metadata consists of elements relating to the object that are descriptive, administrative, technical and structural. You can create a Digital Archive record by mapping some elements from a WorldCat record into a Digital Archive record and keying other data. The Archive itself creates additional information.
- How do I subscribe to the Archive and how much does it cost?

- How do I access the Digital Archive?
Users of the Web document digital archiving tools access them by using the tab on Connexion, the OCLC online cataloging service.
Batch ingest users access the Archive through the Administration Module, to which users of the Web tools also have access.
- Whose Digital Archive records can I see in WorldCat?
You can see only your own Digital Archive records right now. The WorldCat bibliographic record of the object, however, links to the digital object itself. The Digital Archive record also links to the object. It lists the OCLC number of the associated bibliographic record in WorldCat.
- How can users find my archived materials?
Users access your material through a Digital Archive URL in a bibliographic record, in WorldCat, your local OPAC, or a web portal you create.
- How do I submit Web documents to the Archive?
General steps in the process:
- Create preservation metadata (using metadata mapped from bibliographic record in WorldCat).
- Harvest or copy the digital object (a single Web document).
- Assign administrative properties to the object.
- Ingest or add the object into the Archive.
- Link to your now-archived object from the WorldCat record.
- Enjoy worldwide exposure for your collection through WorldCat.
- How do I submit a collection to the Archive as a batch?
You can use the OCLC Submission Builder to create a METS-compliant Submission Information Package (SIP) to submit to us with your collection. We create the preservation metadata records for you based on information you provide.
- Can I make activities "Administrator-only"?
Yes, you set your level of privilege when you begin using the Archive. For example, you may want your work-study student to be able to create only Digital Archive records, but you would like your digitization specialist to be able to create records, harvest, ingest, disseminate and delete materials. These levels, plus the administrator-only function, are all available
- What if I need to change a record in the Archive?
Once you add your objects to the Archive, a separate Administration Module provides the functionality and flexibility you need to manage access to your collections. Your cataloging and FirstSearch authorizations come preloaded in the Administration Module. Through the Administration Module, you can change properties/service levels of an object, as well as organize related content objects into collections, store and manage multiple copyright statements and create groups for specific end-user access (such as Dr. Lee's Chaucer 402 class).
