Sending or retrieving files

You may send records to OCLC electronically through FTP, or use one of several physical media. You may retrieve record files that result from your batch processing project using FTP or retrieve both record and report files through the Product Services web.

Sending your files to OCLC

When using physical media for OCLC batch processing files:

  • Place only one file (MARC records) on the tape. Do not include a volume or header file.
  • Do not compress or write the records in an archiving format.
  • Use the extended ASCII character set.
  • Use one of the following media:
    • IBM 3480-compatible cartridge
    • 4mm (DAT tapes)
    • 8mm cartridge (not exceeding 5.0 GB)
    • 3.5 inch diskettes
    • CD-ROM
  • Label each tape, cartridge or diskette with a sticky label that adheres to the tape or cartridge. The label should include details such as your OCLC institution symbol and the record count.

To submit your data files electronically:

  • Use FTP through your OCLC EDX account. If you do not already have an OCLC EDX account, complete the EDX Assessment along with your Batchload Order form. For details about preparing files for electronic transfer and instructions for using your EDX account, see the documentation.
  • Send small files as e-mail attachments to batchload@oclc.org.

Retrieving files from OCLC

You may choose among the following options for receiving files from OCLC:

  • FTP the files through your EDX account (FTP) or download the file from OCLC Product Services Web
  • Receive small files as e-mail attachments (search key processing only)
  • Retrieve records on any of the following physical media:
    • IBM 3480-compatible cartridge
    • 4mm (DAT tapes)
    • 8mm cartridge (not exceeding 5.0 GB)
    • 3.5 inch diskettes
    • CD-ROM

Note: LDR batch processing does not return files of records.
