C OCLC Authority Record Format

Appendix overview

Appendix C describes the fixed field element mnemonic labels and codes, and variable field tag groups, mnemonic labels, and subfields.

C.1 OCLC Authority Records

Authority records

An authority record is a collection of information about one name, uniform title, or topical term heading. Each authority record contains the established form of the heading, see from references, see also from references, and notes.  The record also contains coded data that describes characteristics of the record.

Records have one fixed field element area that contains coded information from the MARC 21 Leader and 008 field. Records have many variable fields that usually contain textual information. The following table describes the record and field size limits.

Item Limit
Record size 12,000
Field size 9,999
Number of variable fields in one record 90

All records in this appendix are shown as they appear in CatMETM.

Mnemonic display

The CatME mnemonic authority record display shows MARC21 fixed field elements and content designators.

CatME: mnemonic authority record display

The mnemonic display is the CatME default format.

The mnemonic display is Passport's default format for Cataloging Search, and for all Interlibrary Loan and WorldCat® authorization modes. All other modes use the tagged display.

Tagged display

The tagged CatME authority record display uses numeric tags only.

CatME: tagged authority record display

C.2 Fixed Field Mnemonic Labels

Passport mnemonic fixed field positions

This table shows the position of the labels in the fixed field of a Passport mnemonic display.

Line Column
  1 2 3 4
1 Type of Record In-process note [blank column]
2 OCLC ARN Status of record   Data entered in file
3 [blank line]
4 Heading use Status of heading   Status of references
5 Subject heading system Geographic subdivision instructions
6 Series type Series numbering information

The system supplies labels when the data exists. Nothing appears unless the codes are present. For example, the last line (line 6) contains information only when the heading represents a series.

Passport mnemonic code equivalents

The following table lists in alphabetical order the labels that may appear in the fixed field portion of a Passport mnemonic display and the equivalent code for the tagged display.

C.4 Variable Field Tag Groups and Mnemonic Labels

Each variable field may have between 1 and 9,999 characters. Variable fields have three parts:

  • Three-digit codes called tags
  • Two single-digit indicators
  • One or more subfields

Tag groups

The system groups variable fields by MARC 21 tags. Tags that begin with the same digit have similar functions. In the following list, xx stands for any numeric value (00–99).

Tag group Function
0xx Call numbers, control numbers
1xx Established headings
260 Complex see reference (subject)
360 Complex see also reference (subject)
4xx See from reference
5xx See also from reference
6xx Series treatment information, notes
7xx Heading linking entries
856 Electronic location and access
9xx Locally defined headings

Indicators

Indicators supply data for indexing and other system functions. Numbers in the indicator positions have assigned meanings, and in some fields blank (blank character  ) is meaningful. Variable field indicators may have the following combinations:

  • A number in both positions
  • A number in one position and a blank space in the other
  • Two blank spaces

Subfields

Subfields are the smallest logical unit of data in a variable field. Subfield codes (letters or numbers) identify subfields and are preceded by subfield delimiters (). Subfields usually have textual descriptions of the authority information, but some contain coded information.

Whenever subfield a is the first subfield, both the delimiter and subfield code are implicit and do not display.

Segmented variable fields

In Passport, when the content of a field exceeds approximately 600 characters, the system displays the field in segments. Each segment consists of:

  • A line number
  • A segment number
  • A tag
  • Indicators
  • Data

The line number, tag, and indicators are the same for each segment of the continued field. The system displays segment numbers in brackets after the line number.

Examples:
start of message character  6 [1]  665  The name of the Baptist . . .  American Baptist Education   ¶
start of message character  6 [2]  665   Society. a Works by the Board of Education of the . . . . .

Passport mnemonic vs tagged display

In a Passport mnemonic display, the system supplies some information in square brackets following the text of variable fields. For example, the system displays the established heading for a personal name as follows:

Mnemonic display

100 1   Sayers, Dorothy L. q (Dorothy Leigh), d 1893–1957. [AACR2]

Tagged  display

100 1   Sayers, Dorothy L. q (Dorothy Leigh), d 1893–1957.

Heading and tracing information.   Some records contain  information about the heading or about the relationship between the heading (1xx field) and the tracings (4xx and 5xx fields).  Passport mnemonic displays supply this information in brackets. Tagged displays use codes. For example, the system displays a tracing showing the form of the heading for Dorothy Sayers established under earlier cataloging rules as follows:

Mnemonic display

400 10  Sayers, Dorothy Leigh, d 1893–1957 [OLD CATALOG HEADING]  ¶

Tagged display

400 10  Sayers, Dorothy Leigh, d 1893–1957 w nna

System-generated labels.  The table below lists labels that the system generates for mnemonic displays at the end of a heading or reference field. The system supplies bracketed information if the codes exist in the fixed field or subfield w.

[REFERENCE: SUBJECT/SERIES] w, position 2, code f

Control subfield w

Subfield w appears only in tagged displays and only in applicable 4xx, 5xx, and 7xx fields.

4xx and 5xx fields.  Control subfield w in the 4xx and 5xx fields contains four character positions (designated as w/0, w/1, etc). It provides information about a specific relationship between a heading (1xx field) and tracing (4xx or 5xx field).

  • Use to indicate whether special instructions apply to the display of the heading in the 4xx or 5xx field.
  • Use to indicate whether a tracing is restricted to the reference structure of a particular type of authority.
  • Each character position has a list of coded values that pertain to it. See the following table.

The code definitions are position-dependent. If you code any of character positions 2-4 with a meaningful value [that is, a value other than n (not applicable)], you must code all the preceding positions with n as a placeholder. Succeeding positions need not be coded. If all four positions contain n, subfield w does not appear.

Example:

start of message character 400 10   Sayers, Dorothy Leigh, d 1893–1957 w nna

The first two positions are coded n because the third position requires code a. The field contains a form of Sayers' name established under earlier cataloging rules.  No code is needed in the fourth position because it does not apply to this tracing.
